Reports To: Director of Property ServicesPrimary Function: Perform dedicated (client specific) management business support functions within the Commercial Property Management market and/or platform, serving mostly as first contact with tenants, vendors, and clients. Assist in budget preparation, special projects, after-hours calls/emergencies, related matters within the Property Management market and/or platform, work directly with Commercial Property Management team and other tasks and duties as assigned, with dates to be agreed upon as initiated by Client and/or Thalhimer.Maintain both the physical and fiscal aspects of a property or a small portfolio of properties (ie, retail, office, industrial, office-medical, etc.) with a thorough understanding of real estate fundamental and business management.Education: A high school diploma is required, along with two to three years of related work experience. A Bachelor's degree is desirable but not required. Qualifications:Possess great customer service skills.Positive attitude.Ability to multi-task.Flexible and comfortable with changing priorities.Good written and verbal communication skills.Attention to detail.Exceptional organizational and follow through skills.Must be proficient with personal computers and PC based software, (ie, Microsoft Office).RelationshipsMaintain relationships with associates and all other departments within the company.Maintain relationships with supplies, vendors, and others serving the Company or the properties.Maintain relationships with clients and tenants of assigned portfolio.ResponsibilitiesThe activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position.Support functions including processing incoming service requests and dispatching service requests; utilizing web-based solution software to dispatch, track, and close service requests; accounts payable preparation, contract preparation, and the preparation and updating of routine reports.Update and accurately process purchase orders, work orders, as well as invoices.In-depth review and compliance monitoring of all information affecting building reporting and performance. First contact with tenants, vendors, and clients by receiving incoming telephone calls and emails, determining the nature of the call/email, and distributing to the proper area for resolution.Analyze and evaluate problems and events at the building(s).Direct participation of administrative and accounting paperwork and the communication of progress and/or areas requiring attention by management.Ensure adherence to the company's policies and procedures, management vendor contracts, and any relatedAdministrative-oriented requests. Small Portfolio ManagementMaintain the physical asset:Procure, coordinate, manage, and supervise employees and contractors necessary for the maintenance operations of the properties.Conducts formal site inspections of properties interior and exterior.Makes recommendations for physical repairs and/or replacements.Ensures observance of any risk management items.Financial reporting and control:Approve invoices and processes in accordance with Company procedures.Reviews all monthly financial reports prior to submittal to client(s).Communications with accounting and lease administration.Preparation and monitoring of properties operating budget.ExpectationsPolite/respectful (internal and external)Committed to customer serviceProfessional in both dress and demeanorTake ownership and understand entire property operations - physical/fiscalCommunicate effectively and efficiently (keeps all parties informed)OwnersTenantsBrokersAccountingMaintain effective balanceResponsive to requests whether internal or external to the companyTeam member and collaborativeUnderstand "big picture" of property and operations and how to increase NOI (net operating income) for owner/clientAll interested applicants should respond with an attached resume and salary requirements.
