"Executive Assistant to the Vice PresidentThe George Mason University Office of Advancement and Alumni Relations invites qualified candidates to apply for a full-time Executive Assistant to the Vice President position. The University Advancement division is a comprehensive development and alumni relations enterprise with a staff complement of approximately 135 full-time employees. Functional units within Advancement include development/fundraising, alumni relations, stewardship and donor relations, advancement communications, special events, gift processing, research, prospect management, gift planning, corporate and foundation relations, information systems and management, and infrastructure services.Advancement's mission is to build strong, lifelong relationships with George Mason University's alumni and constituents, while matching their philanthropic interests with the university's aspirations and priorities. The Executive Assistant will be responsible for conducting research, preparing agendas, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, answering and directing phone calls, distributing communications, arranging conference calls, making travel arrangements, preparing reimbursements, and scheduling meetings.Responsibilities:Serve as the Vice President's primary "scheduler";Serve as the Vice President's "action officer";Perform a variety of clerical duties in support of the Vice President;Assists with the staffing and support of Advancement related Board of Trustee committees, and Board of Visitors committees, such as the Development Committee and Campaign Committee;Plan, promote, coordinate, and monitor special events as directed by the Vice President; andPerforms other related duties and special projects as assigned or directed.Required Qualifications:Progressive career experience;Experience working in a high-volume, fast-paced office;Expert level Microsoft Outlook/Calendar skills;Solid computer skills, including Microsoft Office Suite;Meticulous attention to detail and accuracy in matters of proofreading, document processing, and relaying messages;Excellent organizational and prioritizing skills;Excellent interpersonal and verbal communications skills , including the ability to work effectively with and relate well to staff and external constituents at all levels of the university;Ability to handle confidential information with discretion and professionalism;Be proactive, observant, mature, poised, efficient and well-organized;Solid writing, correspondence, and communication skills;Ability to deal with diverse types of people; work under pressure; multitask; handle confidential issues; work well with others in a team environment; must have a professional demeanor; andAbility to anticipate the needs of the Vice President and thereby ensures that the necessary information and logistics have been coordinated prior to the actual time of events and activities on the calendar.Preferred Qualifications:Experience in higher education; andAbility to communicate with staff and faculty with all levels of education."
