Stimson Center, an independent policy research center, seeks a highly-motivated individual to join the team as a full-time Program Assistant for the Partnerships in Proliferation Prevention (PPP) Program. We seek to increase national, regional, and international capacity to prevent the illicit spread of chemical, biological, radiological, and nuclear (CBRN) weapons, and their means of delivery. Our projects focus on the development of unique resources and tools for use by the nonproliferation community. The PPP Program also leads the International Nuclear Security Forum, the largest collective of civil society organizations working to reduce the risk of nuclear terrorism.The Program Assistant will advance programmatic objectives by providing administrative, logistical, budgetary, and project management support to the team. The Program Assistant will work closely with our small, close-knit team to support key functions including events, travel, funder reporting and communications, and operations. The successful candidate will have some prior educational and/or professional experience in project management, administrative support, event coordination. Background in CBRN nonproliferation or security-related programming is helpful, but not required.This position offers an on-ramp into a career analyzing and working on issues of national security, countering weapons of mass destruction, and experience working with experts in the CBRN space, as well as the full range of issue experts hosted at the Stimson Center. The Program Assistant will learn the ins and outs of how nonprofits work, and how projects and products are brought to fruition over the course of a grant period, and how programs manage a range of projects across different subject areas. The PPP Program is a small group and are looking for a candidate who fits well with the team and thrives in an open and collaborative work environment.RESPONSIBILITIES:Provide substantive project support as required, including drafting and/or editing reports for funders and limited research support on key projects and activities;Support program outreach and contact management efforts, including consolidating and maintaining contact databases and producing regular promotional and communications products including a program newsletter, project web pages, and social media content;Assist with program operational functions, including maintaining the program calendar, scheduling virtual and in-person meetings, tracking deliverable and reporting due dates, managing shared IT resources, coordinating with non-resident program staff, and supporting the onboarding of incoming team members;Serve as program event lead. Coordinating all logistical arrangements including reserving and preparing event spaces, developing invitations and monitoring RSVPs, arranging logistics and refreshments, and serving as the main point-of-contact for attendees and participants;Attend and prepare summaries of relevant events and discussions; attend and take project and program meeting minutes; follow-up on meetings with key action items, meeting notes, and resources;Monitor media and track news developments to flag key information related to CBRN security and nonproliferation developments; compile and collate news stories;Liaise with Stimson Communications team; enter products into pipeline, manage due dates, communicate changes in timelines, coordinate website updates, etc.;Provide travel facilitation support to program staff and external partners, support travel planning and booking, as well as relevant authorizations for both funders and Stimson requirements and expense reconciliation;Other duties as assigned.QUALIFICATIONS Required: Demonstrated interest or background in international relations and/or international security;Ability to work independently and to collaborate with peers in a team environment;Strong organizational and communication skills, flexibility, and the ability to manage multiple deadlines;Superior writing, copyediting, and proofreading skills;Experience with event planning and administrative support functions;Diplomatic skills and cultural sensitivity; willingness to work with global stakeholders, occasionally during non-standard hours;Creative problem solving and collaborative approaches to burden-sharing. Preferred:B.A. in Political Science, International Relations, or a related field;Experience preparing and monitoring budgets for large events and program activities;Knowledge of customer relationship management (CRM) platforms including Salesforce and Accounts Payable software Anybill;Familiarity with social-media platforms, analytics, and effective promotion strategies; experience developing social media awareness, promotional campaigns, and calendars;Experience with SharePoint, Microsoft Office, Google Suite, and other workplace tools that support team organization and promote hybrid collaboration and teamwork;Familiarity with database management or development, as well as relevant tools like Wordpress, AirTable, STATA, SPSS, etc.;Familiarity with budgeting and finance tracking for projects;Experience with travel research, trip planning, and travel reimbursements.Requirement for Selected Interviewees:Applicants selected for interviews may be required to complete one or more short assignments as part of the assessment process.Application Requirements: If you are interested in working with a dynamic team at a well-respected and award-winning organization, please submit your resume and cover letter as PDF documents.
