Job Announcement

As a member of the Circuit Court Civil Branch, performs a wide variety of complex and technical processes and duties in the team and is responsible for a variety of duties. This position works under the supervision of the Civil Status Division supervisor. Duties include:
  • Prepares cases for appeal to the Virginia Court of Appeals and the Virginia Supreme Court. Prepares garnishment dismissal and show cause orders.
  • Assists in the administration of the Differentiated Case Tracking Program (DCTP).
  • Prepares and coordinates all elements of various dockets and analyzes information from civil law/domestic case documents for the Circuit Court.
  • Assists the public, attorneys, staff, and judges in person, via written correspondence, through the court's website, email, and over the telephone.
  • Performs other duties as required.
Note: Due to the nature of the position and its responsibilities, physical presence in the office is required.

Salary: The selected applicant's starting salary will be in the minimum to midpoint range ($41,253.89 to $55,004.14 ) of the advertised compensation range. Promotional rules apply for current Fairfax County Government and Fairfax County Public Schools employees.

  • Receives and reviews documents to ensure completeness for filing and recording;
  • Prepares and processes legal documents;
  • Enters and updates case information in the case management system;
  • Scans and indexes documents in the case management system;
  • Assists customers by phone, and in person with miscellaneous inquiries;
  • Maintains, stores, and ensures accessibility of case files;
  • Assists the public requesting to review, and/or obtain copies of case files;
  • Ensures the confidentiality of court records in accordance with the Code of Virginia and the Rules of the Supreme Court.


Required Knowledge Skills and Abilities

  • Knowledge of standard administrative procedures, practices, and equipment;
  • Knowledge of common legal terminology, documents and procedures;
  • Ability of comprehend applicable Virginia Code sections and laws;
  • Ability to process a considerable volume of record work in an accurate and timely manner;
  • Ability to perform data entry, scanning, indexing and retrieval with computer information systems;
  • Ability to communicate courteously and effectively, both verbally and in writing;
  • Ability to develop and maintain effective working relationships with a variety of individuals, including the judges, general public, members of the legal and business community, and department staff.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation; plus two years of experience providing administrative support, technical support, customer service, or working in a court or legal environment.

NECESSARY SPECIAL REQUIREMENTS:
  • All newly hired employees will complete an attestation online related to their vaccination status against COVID-19 or a medical or religious exemption (forms provided by the agency) on their first date of employment or shortly thereafter. Employees who are not vaccinated, including persons with a medical or religious exemption, may be subject to a weekly testing requirement.
  • The appointee to the position must satisfactorily complete a criminal background check.
PREFERRED QUALIFICATIONS:
  • Two or more years of Court and/or legal experience
  • Two or more years of experience providing front-line customer service
  • Knowledge of the Code of Virginia and regulations in relevant areas
  • Excellent attention to detail and organizational skills
  • Clear and concise oral and written communication skills
  • Experience working in a team environment
  • Ability to exercise tact, discretion, initiative, creativity, and independent judgment
  • Experience in the use of Microsoft Office computer software, especially Word, Excel, and Outlook.
PHYSICAL REQUIREMENTS:
Requires ability to lift boxes and files and push a cart weighing up to 30 pounds. Ability to input and retrieve data from a computer. All duties performed with or without reasonable accommodations.

SELECTION PROCEDURE:
Panel interview and may include a written exercise.
