HRL serves a highly diverse population of approximately 6,200 students, the majority of which are undergraduates living in over 40 traditional, suite, and apartment-style residence halls on three campuses within the vibrant Northern Virginia area. HRL employs over 170 full-time and graduate staff members and over 350 undergraduate student staff members. Responsibilities:The Procurement and Housing Operations Administrator will provide support for all FF&E (furniture, fixtures, and equipment) for HRL, including the purchase, tracking, audit/condition, replacement, and/or refurbishing of items. This position will support housekeeping and special projects in EVA procurement, invoice processing, and specific Housing contractual agreements (including laundry and pest services, uniforms, etc.). Primary responsibilities include providing administrative, training, procurement planning (contracting, procurement, and renewal), asset and project management, and other departmental duties.Primary Areas of Responsibilities:Asset Management - Contracting, Procurement & RenewalFurniture DispositionAsset Renewal/ReplacementSpecial PurchasesWarehouse & StorageHousing AccommodationsInventory/TrackingWork Order Control, Procurement & Invoice ProcessingReview special/large-scale Work Orders;Represent Housing Facilities with all vendor issues. Includes the investigation and resolution of vendor inquiries and disputes, and the processing of credits as necessary.Other Contract Management and ProcurementSupport the AD of Housekeeping and Special Projects;Create/renew/maintain annual contracts.Departmental DutiesPerform other duties as assigned by the Associate Director of Housekeeping and Special ProjectsServes as the primary point of contact for all mass emails communication with our residentsRequired Qualifications:Demonstrated full time experience in Procurement, Inventory Management, Space Planning or Business Management;Preferred Qualifications:Bachelor's degree in Accounting, Procurement, Business Operations or a closely related field, and demonstrated full time experience in Accounting, Procurement, Inventory Management, or Space Planning/Business Management;Experience (typically 3-5 years) in University Housing, Housing Management, Inventory Management or related field;Proficiency with SchoolDude (work order management system), MS Excel, the Banner financial system, and eVA (Virginia online procurement system);Experience typically obtained working 3-5 years with Mason purchasing & bid contracting process, eVA (Virginia online procurement system), or an inventory tracking system.
