We are currently accepting resumes for a Human Resources Assistant. The office for this position can be located in the Largo or Gaithersburg school location.

In this entry level HR position, the Human Resources Assistant at The Foundation Schools performs a wide variety of clerical duties. They prepare, process and accurately maintain a variety of compliance reports, records, and files relating to staff, payroll and benefits with an emphasis on accurate data entry and time guidelines. The Assistant will support the Human Resources Department with workers’ compensation claims and planning, preparation and attending assigned recruitment events. Travel to other work sites may be required

ESSENTIAL JOB FUNCTIONS

Provide Human Resources Department phone coverage in a friendly and professional manner 

Complete verifications of employment, compensation and requested employment history documentation for current and former employees after obtaining proper authorization

Assist with organization, planning, and preparation for recruitment events. Participate in events as assigned

Create and update HR forms as needed

Enter workers’ compensation reports into claims and HRIS system and send initial email to employee, HR team and management. Follow up as assigned  

Assist with new employee and annual benefits enrollment. Help employees navigate the system and follow up with staff regarding deadlines

Perform Child Sexual Abuse and Misconduct History Employment Reviews. Complete process following outlined procedures and within time guidelines

Assist with termination paperwork

Add new employee data into the payroll and HRIS system and perform period audits

Post and close job openings on the school website and other outside advertisements sites

Set up new employee files and file documents as needed.  Ensure files are secure and locked when not in use

Support all internal and external HR-related inquires or requests. Ensure smooth communication with employees and timely resolution to their inquiries

Prepare, copy, and update new staff onboarding materials. Maintain updated documents on the staff onboarding, benefits and self-service portals

Provide general clerical support to the Human Resources Department to include but not limited to filing paperwork and distributing employee communications or mailings

Demonstrate knowledge of human resources laws and regulations regarding confidential staff information and ensure information is shared only when appropriate and in accordance with company policies and procedures, as well as with all federal, state, and local laws

Manage MSDE Binders and documents including staff fingerprinting verifications, certifications and licenses and verification of degrees in inspection ready condition.   Add new hire and remove terminated employee documents

Acts as backup for Human Resources as needed

Actively participate in committees, meetings, supervision, and professional development activities

Consistently model and implement the organization’s core values to drive actions and to guide our students to incorporate Teamwork, Work Ethic, Integrity, Respect, and Leadership into positive behaviors

Comply with all of The Foundation Schools’ policies, rules, protocols, and procedures

 

Complete other duties as assigned
