Assistant Registrar for Degree ComplianceThe George Mason University, Office of the University Registrar, invites applications for an Assistant Registrar for Degree Compliance. The Assistant Registrar for Degree Compliance, as a direct report to the Associate Registrar and University Registrar, is a member of the Registrar's leadership team and is expected to be an effective manager and active participant in improving services throughout the university. The primary responsibility of this position is focused on course substitutions, degree compliance, processing of diplomas, and degree conferral, and requires a solid understanding of how to leverage information and ideas to support student needs and the institution's strategic goals.Major Position Functions:The Assistant Registrar is the official responsible for oversight, planning, leading, and managing all facets of the Degree Compliance team on the Fairfax campus, ensuring the integrity of compliance with related University, state, and federal regulations and policies, and accrediting standards.The Assistant Registrar oversees degree compliance and conferral utilizing Ellucian Banner, Ellucian DegreeWorks, and any possible future degree audit tool.The Assistant Registrar leads and participates in departmental and university-wide efforts to continuously improve policies, processes, and services in support of the University's goals and initiatives to provide the best possible constituent service experience, especially those related to student enrollment, retention, and graduation.Leadership - 30%Effectively communicate and demonstrate excellent administrative and human interaction skills, particularly in balancing the diverse needs of the academic community and those of Academic Affairs while working effectively within the Office of the University Registrar;Work proactively with the University Registrar, Associate Registrars, Assistant Registrars, central departments, academic units, and university leadership on changes to business process or practices to ensure student service records integrity;Review changes to systems and facilitate review of possible changes to create new or enhanced functionality; lead and participate in regular meetings with campus constituents to decide on practices across the enterprise;Lead business process design and implementation to support compliance with University policy; work with a broad range of University partners to ensure processes align with the decentralized nature of student records work;Ensure that the teams customer service is at a level of excellence - whether via phone call, e-mail correspondence, or in-person communication;Execute motivational, positive leadership in using established best practices while injecting an innovative and strategic mindset among staff;Serve as a registration and degree compliance expert on a variety of university committees as requested;Provide situational updates, as well as project status updates to the University Registrar and Associate Registrar.Management of Degree Compliance - 35%Manage and coach direct reports in the Office of the University Registrar, and set direction for the Degree Compliance team;Responsible for needed training within the Degree Compliance team and high-level training of professional and faculty advisors as needed;Official responsibility for oversight, planning, and management of all facets of degree compliance and conferral of degrees, diploma ordering, and commencement program list;Set direction for degree compliance team to notify academic units and students when the student program audit differs from degree program requirements; resolve issues by processing course substitutions, waivers, applying transfer credits/exams, and alternatives to standard courses;Responsible for the academic integrity of student records in Banner, the student information system CAPP;Serve as the point of escalation for the Degree Compliance team to ensure elevated responses are attained when needed;Collaborate on the implementation and maintenance of the Student Educational Planner in Degree Works;Create systems, reports, and processes that support a sophisticated data-driven environment with accurate and robust information to make decisions;Maintain Degree Compliance calendar for reports and deadlines;Maintain numerous reports for data quality in student records;Manage the advancement to candidacy for PhD student process;Manage the Bachelor's/Accelerated Master's Program posting and tracking processes;Promote quality assurance controls in the Office of the University Registrar that support records integrity;Participate in testing of software upgrades and improvements;Monitor performance and individual development of all staff; address training needs and provide career development opportunities such as workshops, seminars, and training programs;Set the vision for the Degree Compliance team, including the reorganization/reassignment of duties and work, streamlining processes when necessary.Business Process Management - 15%Present student records best practice information via a variety of standing meetings, and receive feedback from the community about their needs; charge projects and enhancements from these reviews, including policy recommendations;Provide staff support for business process documentation and production calendars;Assist in analysis and proposal of alternative business processes, and advise and assist in implementation of new ones;Assure the release of student information within the regulations of the Family Educational Rights and Privacy Act of 1974, as amended and within University policy and guidelines.Support the Associate Registrar and University Registrar - 15%Support the Associate Registrar and University Registrar with office operations while exercising sound judgement, diplomacy, and confidentiality when interacting with constituents;Collaborate with University Registrar, Associate and Assistant Registrars, to realign work between departmental teams to support the University operational excellence and strategic planning goals;Assist the University Registrar in prioritizing multiple competing projects and manage the time of staff and resources accordingly to complete departmental responsibilities in a timely and efficient manner;Participate in overall planning of activities within the Office of the University Registrar, developing, recommending, and implementing major policy and procedural changes;Represent the Registrar's Office in meetings as needed.Unspecified Responsibilities - 5%Perform other related duties as assigned. The omission of specific duties does not preclude the Associate Registrar and University Registrar from assigning duties that are logically related to the position.Required Qualifications:Bachelor's degree from an accredited college or university, plus demonstrated experience (generally 2+ years) in a related area including management experience, or equivalent combination of relevant education and experience;Progressive and demonstrated track record of effective leadership and management;Experience in managing multiple projects;Demonstrated skill in effective interpersonal, written, and verbal communication;Ability to work well under pressure and to maintain effective working relationships with colleagues;Experience building motivated and skilled teams, emphasizing collaboration, flexibility, and empowerment;Demonstrated ability to manage change in a complex educational environment;Ability to work independently, as well as a collaboratively team member, and in leadership roles;Demonstrated analytical and problem solving skills;Experience with a multitude of technologies including Microsoft Office suite with spreadsheet experience;Experience in degree compliance and degree auditing work;Experience with both a SIS (preferably Banner, PeopleSoft and others are acceptable), and a degree audit system (Degree Works, DARS, etc.);Commitment to providing exceptional service.Preferred Qualifications:Master's degree from an accredited college or university, plus considerable experience (generally 3+ years) in a related area including management experience, or equivalent training and experience;Experience in administering student records in a Banner administrative environment;Experience with Banner, DegreeWorks, and CAPP strongly preferred, or similar background with an aptitude for learning new software systems;Increasingly responsible management experience in a large higher educational system;Knowledge of curriculum and academic program structures in a university environment.
