In this role, you'll serve as the administrative assistant to the General Counsel of a large trade association providing general legal and administrative support.

Responsibilities:
  • Administer proprietary web-based training programs, including marketing and customer service, invoicing and contract administration, and day-to-day vendor oversight. Market training programs by fielding inquiries from potential customers. Coordinate vendor fulfillment of customer requests, including new customer set-ups, customization, and upgrades. Troubleshoot with vendors to understand technical problems and monitor to ensure that such problems are resolved promptly.
  • Provide meeting planning and registration services for meetings including biannual Legal Conferences, cyber-security law conferences, etc. Negotiate important details of lodging and related contracts for meetings. Manage attendee registration, speaker registration, collection from speakers, and distribution of meeting materials, space and function plans (meals, equipment, guest services, etc.) for meetings. Manage CLE registration in over 30 states. Maintain accurate and timely Legal Committee and related member contact lists.
  • Prepare and process accounting and budget items and manage the department's use of PO, budget, and accounting activities. Serve as the department's budget coordinator.
  • Uses excellent computer skills to operate many programs and applications, including MS Office business applications (Word, Excel, PowerPoint, etc.), CoreIntegrator, NetForum, Real Magnet, GroupSite, the internet, and other relevant programs as needed, and applies these skills to a legal environment. Manages electronic databases of templates and other documents. Uses executive administrative skills to draft and finalize correspondence, coordinate schedules and meetings (both in-house and off-site) on an as-needed basis; prepares and processes accounting and budget items; handles mail and mailing lists, telephone, and other telephone matters; and provides general administrative support as necessary. Is responsible for capturing and organizing historical documents for future reference and use. Periodically purges files.
  • Uses excellent interpersonal, communication, and organizational skills to answer the department's phones, providing the highest levels of customer service to all callers. Assists the General Counsel with scheduling meetings and calls with internal and external stakeholders. Manages requests from stakeholders to survey other members on topics of interest.


  • Excellent computer skills: MS Office Suite, the internet, operation of listservs, and project management.
  • Excellent interpersonal, oral, and written communication skills.
  • Excellent management skills for overseeing projects, electronic databases, and contract management.
  • Ability to organize and prioritize a large volume/variety of work; detail-oriented; ability to appropriately handle confidential information; and work independently but seek assistance when appropriate and necessary.
  • Ability to edit and finalize complex commercial and legal documents.
  • Ability to meet deadlines and work under stressful situations.
  • Excellent proactive problem-solving skills and initiative.
  • Ability to work with employees at every level throughout the organization and at member companies, including executive officers and staff.
  • Excellent meeting planning skills and customer service skills.
  • Degree preferred.
