The Administrative Coordinator, the first point of contact for our members and guests, administers day-to-day operations and provides key support to the Rabbi and Executive Director.
  • Provide executive administrative support to include calendaring, verbal and written communication with congregants and the community and logistical support for events.
  • Provide logistical support for Sabbath and holiday services, including coordinating and supporting the Rabbi and ushers/greeters, ensuring that all supplies and equipment are in place for services and programs, and implementing communal hospitality functions.
  • Assist with technical equipment management and support, including computer software and hardware, security equipment, and setting up live-stream/hybrid religious services via Zoom, including microphones and camera equipment required for service and events.
  • Coordinate lifecycle and pastoral needs of the community in collaboration with the Rabbi and office staff, including scheduling and organizing baby-namings, weddings, funerals, meals of comfort, and other support required/requested by congregants.
  • In coordination with the Rabbi, synagogue staff, and educators, work with Bar and Bat Mitzvah families in scheduling appointments, updating planners, and preparing materials to ensure that communications, systems, and events are managed.
  • Produce electronic and hard copy communications materials for website, newsletter, and programs, and correspond with congregants regarding their ritual and lifecycle needs and requests.
  • Greet visitors from the front desk professionally and cordially, including touring the facility, introducing key staff, and phone reception.
  • Monitor and enforce all office and personnel security protocols for visitors and employees.
  • Assist with office management and facility/ room set-up.
  • Order and maintain office and kitchen supplies, ensure items are available and areas are clean/presentable


Requirements:
  • 4-6 years of related experience
  • Microsoft Operating Systems
  • Experience with office phone systems
  • Proficiency in Office 365
  • Excellent written and verbal communication skills
  • Ability to multi-task
  • Organized with attention to detail
  • Ability to communicate accurately and professionally verbally and in writing.
  • Must maintain discretion, confidentiality, and professionalism at all times.
