Job Summary
Aptive is seeking a full-time Conference Planner with at least 5 years of demonstrated experience in providing logistical, marketing, and administrative support to support and plan for national conferences and other events for the Centers for Medicare and Medicaid Services (CMS), Center for Program Integrity (CPI). The candidate will oversee all aspects of CPI's involvement in CMS- and stakeholder-sponsored events and ensure all efforts are in line with CPI's missions and goals. The planner will be responsible for developing and producing conference/event plans and strategies, securing exhibit and meeting space, coordinating applicable materials (brochures, briefing materials, signage, etc.), developing event staffing plans and after-action reports, and providing general logistical support. Responsibilities also include agenda development, speaker identification, speaker preparation, material development, and call for abstracts.
This position requires strong customer interaction skills and a demonstrated ability to work with various stakeholders across multiple tasks.
The ideal candidate is a self-starter, proactive problem solver and action-oriented team player with previous experience in management consulting, preferably for federal clients. This individual must be committed to providing superior service, poised under fast-paced pressure and have a positive and flexible attitude.
This is an Associate- level, full-time position is located in Alexandria, VA. This position may also be remote. Position may include travel to national conferences.

Primary Responsibilities
- Manage event planning and logistics, including developing event project schedule 18 months prior to event. Work with the government to develop conference theme, branding, and objectives.
- Engage stakeholders and provide relevant information prior to the conference, including pre/post meeting mailings, and itinerary management.
- Support event web page and mobile app.
- Provide on-site support for participants and presenters during event, as necessary.
- Manage all protocol requirements surrounding conference, to include planning, organizing, registration, administration, flag placement, gifts and preparation of conference materials.
- Develop calls for abstracts, including calls for collection of abstracts, abstract review, abstract accept/decline process, abstract accept/decline notification, presenter information package, on-site presenter support.
- Capture and distribute event findings, including outcomes, decisions, and after-action recommendations to inform future sessions.
Minimum Qualifications
- 5+ years of experience planning and executing events.
- Bachelor's degree in communications, public relations, marketing, or related fields.
- Experience supporting large, complex events.
- Excellent organizational skills with a high-level attention to detail and ability to carry out multiple tasks under tight deadlines.
- Experience supporting large federal agencies, ideally CMS.
- Ability to obtain and maintain a public trust clearance.
- Legal authorization to work in the U.S.
