MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Administrative experience coordinating executive communications, including taking calls, responding to emails and interfacing with internal and external clients. Prepare internal and external executive documents for Senior Leadership and stakeholders. Schedule meetings and appointments; and manage travel itineraries, including arrangement of meetings and staff events. Maintain organizational correspondence control processes and protocols; maintain filing system and records management guidelines; and sustain professionalism, confidentiality, tact, and diplomacy in an environment with constantly changing executive management deadlines.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
You must meet all qualification requirements within 30 days of the closing date of the announcement.

Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave.
This position has promotion potential to the GS-12 grade level. Promotion to the next grade level is at management's discretion and is based on your demonstrated ability to perform the higher level duties, the continuing need for the higher level duties, and "Regulatory/Administrative" approval. Promotion to the next higher grade level is not guaranteed and no promise of promotion is implied.
- Manages the coordination of the Senior Staff's schedules and travel. Works with other Administrative Staff in the Office of the Director (OD) and the Senior Staff to identify senior managers in Headquarters and Area Offices to represent the Senior Staff in those instances that she/he is not able to attend. Ensures that briefings/reports of critical follow-up issues are obtained from Office representatives along with a plan on follow-up.
- Screens and maintains knowledge of Senior Staff's activities in order to take appropriate action on deadline items. Prioritizes meetings and arranges extensions for less urgent items. Analyzes important issues and apprises appropriate members of the Senior Staff of the circumstances that might alter or complicate significant issues.
- Works closely with key officials of the IHS, and serves as liaison for clarification and dissemination on information, direction, and decisions emanating from Senior Staff. Prepares status reports for the Senior Staff and develops information and input for recurring and special reports/updates. Accesses information from all levels of the organization and assures that the flow of information to and from the OD is efficiently and effectively managed, confidentiality guaranteed as appropriate, and that complete briefing material is provided in a timely manner.
- Provides Senior Staff with a wide range of material and information such as summaries of pending legislation, results of Congressional Hearings, answers to budget questions, and reports on the status of new programs.
