The Sr. Administrative Assistant (Administrative Assistant 4) reports directly to the Sr. Director of Strategic Planning and will also provide support to other members of the Weapons Systems Division's leadership team. This position provides a broad range of administrative support and requires excellent communication and multi-tasking skills, as well as the ability to interact confidently with all levels of management. The selected candidate should thrive in a fast-paced work environment with high expectations, significantly diverse assignments, and collaborative/team settings across all levels. Job Summary: Provides direct support to multiple leaders Performs office functions, including: setting up and maintaining files; arranging meetings and conferences; maintaining supplies; managing Outlook calendars; and receiving, referring, or answering mail. Makes travel arrangements for international and domestic travel, prepares expense reports, and maintains pertinent travel documentation. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Communicates with internal and external customers and executives, professionally representing the corporation and organization. Facilitates program meetings, executive meetings, and customer visits. Collaborates with administrative professionals in related organizations, as appropriate. Demonstrates a wide and comprehensive acquaintance with, and understanding of, both general and specific aspects of the job and their practical application to complex problems and situations ordinarily encountered. Operates independently to meet requirements of leadership team and offers expertise to assist other functions within organization. Assists in maintaining organizations collaboration sites and activities. Assists events and activities of major organization initiatives. Provide back-up support to the Executive Admin supporting the division VP/GM The successful candidate will possess the following: Ability to work in a fast-paced environment with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow through. Proactive mindset, self-motivated, well organized and detail oriented. Excellent communication and interpersonal skills. Ability to work with all levels of management and their assistants. Able to commute to the McLean, VA location for a hybrid telework schedule. Basic Qualifications: High School Diploma/GED with at least 6+ years related experience Proficient in Microsoft Office applications (Word, Excel, Access, and PowerPoint) High level of integrity and interpersonal skills to handle sensitive and confidential situations Able to interact successfully with individuals at all levels of the organization Able to juggle multiple competing priorities; requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines Able to work seamlessly across functional boundaries, ensuring deadlines are met without executive interaction Experience with travel and expense reporting system (Concur or similar) Budgeting, expense tracking and reporting Preferred Qualifications: Active DoD Secret Clearance Previous experience in a global organization of similar size and scope Relevant experience providing administrative support to Director-level and above executives Associates or Bachelor's Degree and/or professional certification centric to administrative discipline Salary Range: $63,800 USD - $106,300 USD Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
