Kimley-Horn is looking for an HR Assistant in our Reston, VA office to support our growing Atlantic HR Team. Responsibilities: Assist HR Team with new hire onboarding and integration tasks including pre-employment paperwork, completing I-9 verifications, background checks and drug tests, prepare and distributing new hire materials, and scheduling new hire orientationAssist recruiters with job postings, recruiting materials preparation, career fair and candidate interview coordination/scheduling, travel arrangements for candidates and logistics for internal and external teamReview and submit travel reimbursements for in-house interview candidates.Audit new hire training reports (ie Employee Handbook, Anti-Harassment, Safety Program, and Cybersecurity) and track completion of other HR related processesAssist with preparation and coordination of HR training sessions and employee eventsCalendar management and expense reporting for HR teamManage calendars, schedule meetings/conference calls, prepare meeting agendas Maintain hard copy and electronic filing system (HRIS)Utilize the HRIS system to prepare correspondence, reports, and materials for publications and presentationsProactively track and follow up on assignments and provide status updates to multiple team membersOrganize and maintain the HR supply room and order suppliesPerform other administrative duties including data entry, word processing, photocopying, mailing, scanning, filing, and note typingOther duties as assigned Qualifications: Experience in MS Office Suite (Word, Excel, Outlook, PowerPoint) Ability and willingness to learn new software applicationsExcels in balancing multiple tasks/priorities in a fast-paced, deadline driven environmentExcellent grammar and punctuation skillsPositive attitude and strong client service focusCollaborative and team-orientedSelf-motivated with ability to work independentlyVisibility of work requires strong attention to detail, excellent organizational skills, and discretion with confidential information
