MINIMUM QUALIFICATIONS

Education
  • High School Diploma or equivalent certificate required

Experience
  • One (1) year of experience working in a high volume sensitive records environment, including records storage and retrieval and electronic scanning.

SUMMARY

The Human Capital (HC) Records and Imaging Technician, in accordance with WMATA's established HR Records policies, is responsible for the creation, maintenance, scanning and disposal of HC employee and retiree files. These files include paper documents and electronic documents.

ESSENTIAL FUNCTIONS
  • Creates and maintains employee Human Capital files for all current, former, and retired employees, ensuring all documents are classified accurately for future retrieval by authorized persons. These files include both hard copy, scans of originals and digital employee documents.
  • Meticulously follows WMATA's established quality control guidelines to ensure scanning accuracy and integrity of personnel documents.
  • Assists in the compilation of data for court proceedings, audits, FOIA requests, federal investigations, etc. and serves as point of contact for all PARP requests.
  • Retrieves files for review by authorized persons.
  • Conducts monthly audit of all personnel files, to include purging inactive files.
  • Transfers inactive physical files to offsite storage facility in compliance with WMATA's established HR records retention schedule and guidelines. Requests archived files from offsite storage facility when requested by authorize persons.
  • Arranges for the disposal of records in compliance with WMATA's established HR records retention schedule and guidelines.

OTHER FUNCTIONS
  • Responds to and facilitates employee requests to review the official personnel file.
