Overview

  • AM LLC has an immediate opening for a full-time Administrative Support Coordinator to support public health, COVID-19 response, and immunization services programming throughout the state of Rhode Island. The Administrative Support Coordinator will perform a variety of clerical and administrative office support duties as an integral member of the Pandemic Response Unit team, facilitating efficient and effective operations of services. The successful candidate will demonstrate flexibility, attention-to-detail, planning, and problem solving skills. Prior experience working at a local or state health department will be beneficial in this role. This is a hybrid position with 40% remote work from a home office and 60% required onsite work in Providence, RI with the possibility of occasional travel throughout the state of Rhode Island.


This position is contingent upon being awarded the project.

Responsibilities

Performs a variety of clerical and administrative office support duties, including receptionist and customer service duties; public contact work; document preparation, file maintenance, data entry, word processing.
  • Coordinate general office operations such as ordering supplies, answering/routing phone calls and taking messages, greeting visitors, performing basic bookkeeping work, and assisting with general human resources work.
  • Work collaboratively with the epidemiology and data team and immunizations team to support various activities in support of pandemic response and/or immunization services.
  • Ability to handle large intake volume information accurately.
  • Perform, organize, and streamline operational tasks to reduce the potential for errors.
  • Interacts with clients maintaining a high level of customer service (e.g., assists clients with intake paperwork).
  • Present a highly professional image and positive attitude in compliance with the entity's policies and procedures.
  • Escalates issues appropriately and informs Team Lead and/or Project Manager about problems and needs for enhancements.
  • Performs other duties to support effective program performance.

Qualifications

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to handle confidential information with discretion and professionalism


MINIMUM QUALIFICATIONS:
  • Associate degree
  • 2 years of related experience


PREFERRED QUALIFICATIONS:
  • Prior experience working at a local or state health department


TECHNICAL REQUIREMENTS:
  • User provided home high-speed internet connection. (Minimum 25Mbps)
  • Experience with Google Suite.
  • Utilize RingCentral to make phone calls.
  • Utilize all technology and software issued by the company as needed to meet the needs of the partner agency.
  • These may include but are not limited to: Mac Book, Google Suite, Slack, HelpScout.
  • Must have a quiet, dedicated workspace.
  • User-provided home high-speed network connection.
  • Personal mobile device.


TRAVEL REQUIREMENTS:
  • This position requires access to reliable transportation.
  • Position will work remotely from a home office (40%) and work onsite at various locations in the Providence, RI metropolitan area (60%).
  • Travel may be required throughout Rhode Island.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS:

Employees must have the ability to perform the following physical demands for extended periods of time with or without assistance:
