Summary

Kapsuun Group, LLC is seeking a Program Assistant III to provide various support positions to the Department of State (DoS) Bureau of Human Resources (HR) in Washington, DC with professional, administrative, and/or technical program support services to meet the performance objective and business requirements and to help fulfill the mission of the DoS.

Responsibilities
  • Schedule and reschedule FS candidates for the oral assessments (OA) process, including providing guidance to candidates on assessment rules and regulations and guidance to candidates and assessors on scheduling and preparation of test materials.
  • Update and maintain tracking spreadsheets such as the office phone list, distribution lists, staffing patterns, and organizational charts.
  • Manage inventory of supplies and equipment, including maintenance of large equipment (copiers, printers, etc.), perform office automation duties using various software applications to request supplies and services, and assist in the management of the annual performance review process.
  • Manage phone calls, visitors, and initial paper flow into the office, collect and accurately submit time and attendance for direct hire staff and seasonal retiree staff, and requisition expendable office supplies and office equipment.
  • Assist with troubleshooting office equipment problems, requesting outside assistance as necessary, type and editing letters, memoranda, reports, and other materials as directed using Microsoft Office applications.
  • Input medical, security, and other information related to employment in REETA software for FS Specialist applicants, including medical specialist applicants.
  • Compile and prepare assessment materials and submit them to applicants.
  • Manage the oral assessment process both virtual and in-person for foreign service specialist applicants, including providing guidance to candidates on the assessment rules and regulations.
  • Interact with specialist applicants to administer online and case management exercises.
  • Initiate, cancel, and release security applications using the Electronic Questionnaires for Investigation Processing (eQIP).
  • Troubleshoot application errors with applicants for diplomatic security.
  • Prepare successful specialist applicant files to be forwarded to the Registrar's office.
  • Archive unsuccessful applicant files into REETA in accordance with office standard operating procedures.
  • Input medical and security information for generalist candidates related to employment in the REETA Liaise with DS representatives for processing of candidates who pass the oral assessment.
  • Brief the Lead Program Assistant on the status of daily work assignments.
  • Assist with FS Generalist and other FS Specialist candidate assessments as needed.
  • Assist Assessors with special projects as needed.
  • Serve as a receptionist at the front desk during assessments.
  • Assist with training of incoming, new support staff.
  • Cross-train in Office of Evaluation functions to assist with minimum qualifications reviews as needed.
  • Perform other ancillary duties as needed.
  • Other duties as assigned.

Qualifications
  • High school diploma or GED required
  • 3+ years of experience
  • Interim Secret clearance required
  • The position requires a COVID vaccination or an approved accommodation/exemption for a disability/medical condition or religious belief

Knowledge, Skills and Abilities:
  • Ability to telework from home when the US government is closed due to inclement weather or other emergency situations.
  • Proficient in Microsoft Office Suite.
  • Excellent verbal and written communication skills.
  • Proficient in time management.
