Job Summary

Aptive is seeking a Jr Program Analyst to support the day-to-day operations by independently performing a wide range of duties. The ideal candidate must be able to work independently on projects, from conception to completion, and handle a variety of activities.

This full-time position is located in Alexandria, VA. Remote capabilities are available.

Primary Responsibilities

  • Support executive meetings, including reserving meeting space and/or conference lines; managing invites through Outlook, Teams and Zoom; and set-up of meeting rooms, audio visual, conference calls and catering as required
  • Create agendas, send reminders to attendees and ensure the purpose and expectations of meetings are clearly communicated.
  • Perform clerical duties, such as developing correspondence, receiving visitors, arranging conference calls, scheduling meetings, setting up travel arrangements, and taking notes at meetings.
  • Track action items that result from meetings and discussions and communicate them to team members as needed.
  • Handle logistics, prepare materials, send out related communications, and take and distribute meeting minutes as needed.
  • Support several HR initiatives providing various services, including program and project management related support, communication support, program analysis, change management, organizational and functional assessments, performance metric development, data analysis, implementation planning, and business process reengineering

Minimum Qualifications

  • Two (2) to five (5) years of experience.
  • Experience supporting large, complex federal agencies; ideally VA or DoD
  • Bachelor's degree.
  • Ability to work in-person as needed in Alexandria, VA and Washington, DC.
  • Ability to obtain and maintain a public trust clearance.
  • Legal authorization to work in the U.S.
  • Must have a proven professional demeanor.
  • Proficiency in Microsoft Word, Excel, PowerPoint, SharePoint
  • Excellent interpersonal and outstanding verbal and written communication skills.

  • Knowledge of file management, transcription and other administrative procedures.
  • Ability to get up to speed quickly on complex issues; desire to work in a fast-paced, rapidly evolving environment.
  • Detail-oriented, analytical multitasker; capable self-starter with a drive to get all types of work done.
  • Ability to work effectively both independently and as part of a team.
  • Understands the life and stress of a busy executive and is committed to simplifying things for them, making their work easier and taking stress and tasks off of their plate.
  • Experience interacting with all levels of staff (including senior executives) and providing top-level customer support both within an organization and to its partners and clients.
  • Strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solving.
  • Exercises close attention to detail, double checks work for accuracy and completeness, is highly organized, has high standards for quality.
  • Experience facilitating conference calls, in-person meetings and webinar events including a working knowledge and support for teleconferences, Go-to-Meeting/Zoom/Teams, meeting preparation, etc.
  • Self-motivated, energetic, highly responsive with excellent follow-through and follow-up.
