Advancement Office Manager and Event CoordinatorThe George Mason University Office of Advancement, within the College of Engineering and Computing (CEC), seeks a proactive, organized, and detail-oriented Advancement Office Manager and Event Coordinator. There may be occasional work and event activities needed that are outside of the normal business hours that may be offsite, and/or remote.Maintain schedule and calendar; including the scheduling of appointments, meetings, and travel;Maintain database of business contacts acquired from meetings;Create briefing materials for the Dean, faculty, and other volunteers participating in donor/prospect visits;Office manager for CEC Advancement team including but not limited to answering phones, taking messages, greeting visitors, and maintaining office supplies;Work closely with CEC Advancement team to administrate the scholarship process for CEC;Run bi-monthly reports on donations to CEC;Maintain the CEC Advisory Board listserv and member roster of the full board, each committee or task force, and any other subset of the membership. Include administrative assistants of board member's when appropriate;Arrange board meeting venues, including food and beverage, room set-up, and technical equipment;Take minutes at Board meetings;Assist as needed with the annual calendar of CEC Advancement events, programs, and activities, some of which occur on weekends and evenings;Handles processing all payments related to Advancement Events;Process reimbursement vouchers for CEC Advancement team;Reconcile P-Card and foundation credit cards for Advancement; andReconcile both State and Foundation accounts.Required Qualifications:College degree; or a combination of education and executive assistant work experience;Experience providing executive administrative support;Candidate should possess proficiency using email (Outlook), Internet, Microsoft Office Suite (Word, Excel, PowerPoint);Demonstrated written and oral communication skills;Ability to handle sensitive and/or confidential materials; andAbility to work with professionalism and diplomacy.Preferred Qualifications:Previous experience working for an executive;Familiarity with higher education environment; andKnowledge of University database systems and travel requests.A Force for Innovation in the Heart of Northern Virginia's Technology CorridorThe College of Engineering and Computing (CEC) at George Mason University is comprised of the Volgenau School of Engineering and a new School of Computing.
