Finance Assistant (Non-Student Wage Position - Part Time)The Virginia Small Business Development Center (SBDC) Network, a part of George Mason University, Mason Enterprise, invites applications for a Finance Assistant. The Virginia SBDC Network is looking for a highly detail-oriented individual with demonstrate financial and administrative skills, who is professionally mature, highly motivated, and able to work effectively with internal and external partners. The individual will have financial responsibilities for federal and state grants, purchasing, invoicing and account reconciliations. The individual must possess the intellectual ability to support and contribute to various projects. This is a 29-hour per week, non-benefited position reporting to Senior Finance Analyst, Virginia SBDC Network. Responsibilities:Subrecipient Invoice Processing/TrackingTrack current spending, YTD spending, and remaining balance by budget line for 14 subrecipient organizations;Receive invoices from subrecipients; review for errors; record in cost share spreadsheet;Monitor Cash and in-kind match from subrecipients; andTrack and record invoices through Accounts Payable and Office of Sponsored Programs.PurchasingSet-up of Purchase Requests (PRs) in eVa and follow-through on all required documentation;Monitor progress and approval of PRs through to Purchase Orders (POs);Complete regular reconciliations for PCard, Invoice, PayMode, TouchNet, etc.; andMonitor payment status and resolve payment issues.PersonnelManage the document flow for hires, terminations, leaves, salary changes, special payments for Virginia SBDC staff;Set up labor distributions for new grants based on approved budgets; andPrepare adjustments to labor distributions as necessary.General Grant Management SupportCommunicate with the Office of Sponsored Programs, Fiscal Services, etc. to resolve invoice and payment queries;Communicate with subrecipients about invoices, spending, and budgets;Establish a good understanding of sponsored program processes and funder requirements to be able to contribute to the accuracy of project accounting and the compliance with university accounting policies and funder requirements;Provide administrative support ensuring that files and records are kept up-to-date, accurate, and in accordance with financial regulations and good practices;Produce grant programmatic and fiscal reports as needed; andPerform other duties as assigned.Required Qualifications:Bachelor's degree in accounting or a related field, and/or strong accounting background and grant experience, or equivalent combination of education and experience;Proficiency in interpersonal, oral and written communications; and interactive and listening skills;Proficiency with Microsoft Office and Excel, and financial systems/databases;Ability to interact with diverse groups of faculty, staff, and external grant funders;Ability to respond and work effectively and efficiently in a multitasking environment with deadlines is essential;Ability to work independently and in a team setting;Ability to maintain discretion with confidential material; andStrong attention to detail skills in budgeting.Preferred Qualifications:Experience in higher education;Experience in project management; andProficiency in Ellucian Banner.
