Executive Assistant The George Mason University, Office of Research, Innovation, and Economic Impact invites applications for an Executive Assistant. About the Department:The Office of Research, Innovation, and Economic Impact (ORIEI) collaborates with Mason's senior leaders including the President, Provost, and Deans to set the vision and goals for research and innovation for the university. ORIEI supports faculty, ensures university compliance with state and federal policies, and develops and implements frameworks and programs to enhance university research, creative activities, innovation, and entrepreneurship. ORIEI serves as a central resource to support and enhance Mason's research for discovery-driven regional, national, and global impact. Various colleges, schools and institutes rely on this office for programmatic support; policy expertise; and exceptional customer service. ORIEI also plays a crucial and high-profile role with the Board of Visitors, the University's governing board.About the Position:As a member of the Vice President for Research support staff, this position provides support to the Vice President and the Office's key constituent groups, including but not limited to the Office of Sponsored Programs, Research Integrity and Assurance, Environmental Health and Safety, and numerous research institutes and centers.Responsibilities:Executive Support: Serve as key team member of the Vice President for Research's Office and assist in all matters related to the internal operation of the Office of Research, Innovation, and Economic Impact and the Vice President's schedule. Duties may include: managing the Vice President's calendar and daily schedule; preparing and disseminating correspondence and communications; answering telephone and in-person inquiries; responding to internal and external e-mails; providing requested materials to internal and external audiences. Primary person responsible for managing the Vice President's travel schedules and commitments and corresponding reimbursements. Fiscally responsible for credit card purchases for the Vice President.This position supports the planning, coordination, management and execution of high-profile meetings, programs and events that support the research-based initiatives of George Mason University and the Office of Research, Innovation, and Economic Impact. This position will also build and sustain positive relationships internally with other units across the university and externally, and ensure smooth operations throughout the Office of Research, Innovation, and Economic Impact, providing support and problem solving as needed. Duties include: providing requested materials to internal and external audiences; working closely with colleagues in the President's office and the senior leadership teams in the Office of the Provost and Office of Research, Innovation, and Economic Impact; training and providing back-up support for other administrative professionals. The position is responsible for overseeing activities associated with defined initiatives; perform special studies and projects on a broad range of issues as designated by the Vice President.Meeting Cycle Management: This position supports the planning and coordination of agenda items for BOV, Research Council, Space, and Equipment meetings. This responsible is responsible for creation of a regular cycle of schedule deadlines for content and supporting information for review by the Vice President. This position will organize, prepare and disseminate information associated with agenda items and meeting topics.Reporting and Special Projects: This position will plan, coordinate, and oversee the programmatic and operational projects involving research affairs' issues for the Office of Research, Innovation, and Economic Impact. Prepares various reports, presents data, and collaborates with multiple departments concerning data collection and reporting. Provides verification and other support for annual and special initiatives.Event Coordination: Manage, schedule, publicize and evaluate various events that the Vice President hosts regularly. Plan, promote, coordinate with other departments, and monitor special events. This position will be the secretary for the Research Committee of the BOV as well as the Research Council and other boards responsible for preparing agendas, meeting materials, and distributing minutes as needed.Events may include workshops to engage faculty and students; planning meetings on initiatives, providing status updates on projects, open forums with faculty, staff and students, annual strategic research retreat; and other events. This position will plan, promote, coordinate with other departments, and monitor special events and initiatives including but not limited to conferences and speaking engagements; staff retreats and town halls.Reliability and Responsibility: This position will demonstrate respect for the University and its employees, students, faculty and staff; understand the importance of University events and calendars in order to best facilitate programs and customer service; serve as an ambassador for George Mason University to both internal and external audiences; serve on high profile search committees; assist other areas of the office during employee vacations or absences; other duties as assigned.Required Qualifications:Bachelor's degree or equivalent combination of education and experience;Experience working in a fast-paced executive office;Demonstrated customer service experience;Skill in providing effective customer service;Skill in operating applicable office equipment and computer software;Ability to communicate effectively and respectfullyAbility to work collaboratively as part of a team, as well as independently;Ability to multi-task, and work efficiently and effectively under pressure; andAbility to utilize the internet and library resources for research and references.
