We are looking for a professional, passionate, and highly motivated Executive Assistant to professionally provide administrative support to the Chairman of the Board and the Chief Executive Officer. This position will be responsible for all administrative operations in the Executive Suite by providing administrative support, assistance with executing correspondence and legal instruments, maintaining files and calendars, and draft other documents as needed. The successful candidate will establish efficient documentation, meeting, schedule, and administrative task flows. This position reports to the Chief Executive Officer and works closely with the Executive Vice President of Business Operations. Confidentiality and professionalism are critical to this role.Duties and Responsibilities:Works collaboratively with the Chairman and/or Chief Executive Officer in preparing presentations for meetings, to include trip books, talking points, task lists, biographical and organization research, and after-action reports.Attends meetings, records notes, and provides minutes. Meeting attendance will be coordinated through the Chief Executive Officer's calendar, managed by this position.Works collaboratively across departments to reconcile monthly expenses in the Executive suite. Creates briefing binders on details associated with internal and external calls.Manages all aspects of the Executive Suite's internal and external schedules.Oversight and coordination of organizational scheduling with all departments, to include scheduling the conference room and harmonizing outside schedules.Communicates seamlessly with external contacts to ensure meetings maximize time constraints and anticipated milestones.Maintains tasking checklists as requested by the Chief Executive Officer.Attends Operations Meetings to collate notes for distribution to entire staff, using discretion and judgement.Answers correspondence on behalf of the Chief Executive Officer.Assists the Chief Executive Officer in overload situations by coordinating routine correspondence, filing, making copies, scanning, and sending documents.Answers Executive Suite's calls in a friendly and courteous manner, directing inquiries to the appropriate department.Greets all incoming guests, and supports meetings by setting up food, drinks, etc. and facilitates clean up.Performs basic administrative tasks for maintaining contract files and databases.Prepares travel for the Chairman, Chief Executive Officer and other Board members as needed.Disseminates correspondence from the Chief Executive Officer or the Executive Vice President of Business Operations when requested to staff as required by the Executive Suite.Performs other related duties as assigned by supervisor.Position Requirements:Bachelors degree preferred, but not required.Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.Good judgment with the ability to make timely and sound decisions.Two to three years related experience or equivalent.Strong research skills.Excellent verbal and written communication skills.Excellent grammatical and spelling skills.Proficient in Microsoft Office (all platforms), SharePoint, and Teams.Commitment to excellence and high standards.Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.Strong interpersonal skills.Ability to understand and follow written and verbal instructions.Ability to deal effectively with a diversity of individuals at all organizational levels.Creative, flexible, and innovative team player.Ability to work independently and as a member of various teams and committees.Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.Acute attention to detail.Demonstrated ability to plan and organize projects.Must be able to speak, read, write, and understand the primary language(s) used in the workplace.ATTRIBUTES FOR SUCCESS:The Navy League is looking for a candidate who demonstrates the following values:People-First.
