Position Summary: MAG Aerospace is seeking a Program Specialist to support the Electronic Warfare & Cyber program. The Program Specialist will coordinate the various aspects of a project. These aspects include monitoring of onboarding status, coordinating travel to the work sites, coordinating training and certifications, coordinating necessarily compliance items such as deployment medical requirements. Essential Duties and Responsibilities: Duties include, but not limited to:Support the program teams by managing deployment processes for personnel in matters of dealing with training and education, resolution of policy questions, overall deployment problems, and other issues as they are presentedSupport the program managers by assisting with the deployment processes for personnel in matters of dealing with training and education, resolution of policy questions, overall deployment problems, and other issues as they are presentedProvide direct program support to program manager, facilitating project operations and fielding of all mobilizing and demobilizing project personnel, materials, and equipment. Interact with multiple government agencies to coordinate to schedule in-processing/out-processing of CRC. Complete onboarding, security and mobilization briefs and ensure all HR paperwork is in order prior to departure to theater or home of record. Supervise planned personnel movement (mobilization and demobilization) IAW DoD regulations and guidance of government customer. Assist with travel arrangement, credit card reconciliation and all expense reporting. Assist with all project deliverables including reports, project logistics support, personnel management, and day to day operations. Coordinate and maintain program calendar, create records retention plan IAW contractual reporting requirements. Work with deploying personnel to ensure contract required documentation and training is complete, to include as needed: getting appropriate visas/country clearances, submitting for LOAs, facilitating training, collecting supporting documentation, etc.Coordinate with PMs, the deploying personnel, and travel agencies, travel managers, and travel vendors to secure travel and lodging (if necessary) for deploying personnelTrack travel cost, approvals, and assist finance team in reconciliation as neededUse technical writing to prepare instruction, information, and supporting documents to communicate complex and technical information more easilyCollect data, analyze, and prepare reports in response to questions and concerns from Government and Senior Management efficiently and professionallyAssist in developing reports that track trends and suggest areas for improvementAssist in employee onboarding through various internal and external systems; provide travel training sessionsAvailability outside of regular business hours to aid with deployed personnelUses excellent proactive communication and customer service skills to interface with deploying personnel, co-workers, management and vendors via telephone or email; manage database records; draft status reports on customer service issues; keep manager apprised of daily activities. Requirements: Minimum RequirementsUnderstand and adhere to procedures for retention, protection, retrieval, transfer, and disposal of records. Adhere to standards and procedures; measuring results against standards; making necessary adjustments as required. Organize office operations and procedures and provide administrative support to several managers. Maintain a safe and clean work environment for employeesMaintain the office equipment and scheduling repairs as necessaryKnowledge of principles, techniques, methods, and procedures of Government contracting Proficient with Microsoft Word, Microsoft Excel, and Microsoft PowerPoint Ability to handle multiple assignments at a time and be flexible and responsive in a diverse, changing environment Demonstrated initiative, flexibility, and ingenuity with the ability to effectively achieve organizational established goals and objectives. Ability to thrive in a fast-paced, customer service and collaborative team environment Prior experience in government contracting Previous IC or DoD interaction/service and support experienceEducation and Experience Bachelor's degree from four-year college or university1 to 5 years of related experience and/or training.equivalent combination of education and experience.
