SUMMARY Provide professional consultative services including management studies, data analysis, meeting support, and preparation of responses to federal agencies, reports and correspondence. ESSENTIAL DUTIES AND RESPONSIBILITIES: Includes the following: Performs administrative support in response to contract requirements. Provides program management and administrative support to Department of Defense Clinical Support Division action officers, Defense Health Agency (DHA). Performs administrative and meeting support to key government leaders that have primary responsibility for the DHA Medical Affairs Directorate for coordinating and preparing for key engagements and meeting management support for governance groups and boards which average 1-3 hours per meeting and meet daily or 1 to 2 times per week. Directs support to the government leads for task execution and management, scheduling meetings, coordinating travel if off-site travel is required by a large group, logistics, preparing agendas and meeting minutes, tracking action items and due outs, collecting and preparing read-aheads, Prepares executive action/decision packages, briefs or papers and supporting documentation. Drafts chartered deliverables, execution plans and or guidance, such as Action Memos, Memorandums of Agreement, Standard Operating Procedures, Manuals, and Issuances. Manages meetings to include Congressional meetings and mandated reviews, such as the DoD Government Accountability Office (GAO) and other reviews, and the DoD Inspector General (IG) Office-which may require meeting management over a year, with semi-annual update requirements. Maintains all governance meeting materials, agenda, read-aheads, and meeting minutes in designated SharePoint repositories and sharing portals. Prepares package coordination documents and coordinates and processes taskings received through the correspondence system (Task Management Tool) to include prepare tasker documents for routing and coordination, track progress across multiple levels of within the Agency, and keep the Action Officers abreast of the documents routed in a time sensitive manner. Provides the Agency leadership team with actions such as supporting the development of draft guidance/policy memorandums and strategic and tactical plans Performs other job-related duties as assigned. SUPERVISORY/MANAGEMENT AUTHORITY No supervisory/management authority. EDUCATION AND EXPERIENCE Bachelor's degree is required; a Master's degree is highly recommended and 3 years of experience in administration or operations supporting the Federal Government or Department of Defense; DHA experience is highly preferred. KNOWLEDGE, SKILLS AND ABILITIES Good organizational skills and excellent communication skills, both oral and written. Tolerance for ambiguity and ability to work in a fast-changing environment, with a self-starter approach. US Citizenship and DoD government security clearance NACI required Knowledge of coordinating official government travel utilizing the Defense Travel System (DTS) is preferred. Skill using Task Management Tool (TMT) is preferred. Knowledge of inventory and logistics is preferred. Skill in executing records management is preferred. Ability to successfully pass a background check and drug screen. WORK ENVIRONMENT Work is primarily performed in a climate-controlled office environment. Cherokee Federal employees are included as covered employees in US Presidential Executive Order 14042, which mandates Covid vaccines for federal contractors. Executive Order 14042 is currently blocked from enforcement pending court proceedings. Therefore, Cherokee Federal is halting the application of the mandate; however, if the injunction is lifted, Cherokee Federal will restore administration of the vaccine requirement.
