Summary of the Position : The Benefits Coordinator functions at the core of the Benefits team, ensuring day-to-day administration of benefits operate accurately and efficiently. The Coordinator will partner closely with the Legal, OCOMM, Payroll, and HRBP teams as well as the external partners. Communication : Liaise between other HR units and Novavax departments (OCOMM, Finance, Legal, HRBPs, etc.) on intranet maintenance, annual compliance postings, benefits collateral, communication initiatives, etc., Conduct new hire benefits orientation Prepare and setup meetings designed to help employees obtain information and understand company benefits and other related incentive programs Administration : Manages Novavax Benefits/HR Department inbox for benefit related questions, assists employees in enrolling in benefits, locating requested resources on intranet, and addressing errors or discrepancies found Assist employees in filing health, dental, life, and all other related and deferred benefit claims EOI/HSA verifications and updates within vendor portal and benefits administration portal Reviews QLE and enrollment details in HRIS for approval and necessary employee communication for completion Schedules internal and external meetings, takes notes during meetings Liaise with Finance, IT, and Legal on managing the vendor process Purchase Orders, Purchase Requests, entries into SAP, etc. Review, reconcile, and submit vendor invoices for processing and ensure timely payment. Other Responsibilities : Participate in benchmarking surveys Support annual open enrollment activities and COBRA administration Assist with standard compliance activities and data/enrollment audits Evaluate and make recommendations on the internal processes to reduce costs and increase efficiency Additional duties and responsibilities as assigned. Qualifications : Bachelor's degree in human resource management or related field and one to three years related Human Resources or employee benefits administration experience. PHR or SHRM-CP a plus Sound knowledge of the Regulatory and Legislative imperatives and impacts related to benefits programs (Sec 125, ERISA, 409A, HIPAA, etc.) High-level proficiency with HRIS (ADP/ UKG Pro), Microsoft Office; Strong attention to detail with excellent organizational skills Working in fast paced environment Excellent interpersonal, problem solving, organizational, and analytical skills.
