The Institutes are the primary way in which George Mason is organizing and supporting multidisciplinary research in the three identified strategic research areas for the university. Transdisciplinary University Research Centers are multidisciplinary research centers that are chartered at the university level to support targeted research in areas of high impact. Research Development Services assists the Mason research community with the identification of external funding opportunities and the development of high quality proposals, sponsored projects and translational activities. University Core Facilities, including the Office of Research Computing, are cutting edge facilities that are available to all members of the Mason research community. In total, this set of activities and resources are intended to create a vibrant supportive university environment where members of the Mason research community can thrive.About the Position:The RII Office Manager serves as a critical contributor to the overall success of RII, a vital unit in ensuring the university meets its strategic goals related to research. The primary purpose of the position is to handle all business processes professionally and ensure that the activities of the office are well organized and communicated effectively to the campus community. The Office Manager serves as the interface with the Provost's office, other units within the Office of Research, Innovation and Economic Impact (ORIEI), Associate Deans for Research, Department chairs and faculty, and therefore must excel in organization and communication.This position reports directly to the Associate Vice President for Research Innovation and provides support and advice to the office. In addition, the RII Office Manager supports staff in the Institute for a Sustainable Earth (ISE), Institute for Digital Innovation (IDIA) and the Transdisciplinary Research Centers.Responsibilities:Office Management and SchedulingThe Office manager provides daily support for the Associate Vice President for Research Innovation which includes calendar management (meetings, events, travel and office time) and may also provide scheduling support to other RII staff as needed, especially for large, complex and strategic meetings. The Office Manager also oversees daily operation of the RII office to ensure staff have all the resources needed to function efficiently and assists the Office of Research Integrity and Assurance (ORIA) staff as needed.Budget and Purchasing SupportThe Office Manager serves as the primary purchaser for all RII activities (and supports ORIA, ISE, IDIA and Transdisciplinary Centers as needed) including office supplies and time-critical complex purchases in support of research programs. The Office Manager reconciles specific budget items to ensure the fiscal viability of RII financial records. This includes billing and processing of special payments, electronic approval (EA) entry, preparation and tracking of foundation vouchers, and preparation and recording check requests and purchase orders.Personnel SupportThe Office Manager maintains personnel data on specific members of RII and ORIA as needed. In addition to entering electronic approvals (EA) for wage employees and work-study personnel hired by the office, the Office Manager will maintain personnel records such as W9s, annual performance evaluations, training documentation, etc. and assists with onboarding new RII staff including the process of Electronic Personnel Action Forms (EPAF). The Office Manager is responsible for ensuring employee access to systems and buildings has been established and terminated as necessary. The position manages personnel contact information for RII and the Provost Office and performs annual directory updates for the University.Required Qualifications:Knowledge and experience with computer applications including: word processing, spreadsheet, databases, calendar/scheduling and applications relevant to the internet;Detail oriented with exceptional organizational skills and experience with managing multiple tasks;Experience and ability to work collaboratively as part of a cooperative team to solve compliance as well as interoffice issues; andAbility to communicate with staff and faculty with all levels of education. Ability to work well with co-workers.Preferred Qualifications:Direct experience with Banner, eVA, 25 Live, Travel Request, and EPAF systems; andDemonstrated experience in a comparable administrative role and experience at an institute of higher education.
