Administrative CoordinatorGeorge Mason University, University Life (UL), invites applications for an Administrative Coordinator position. University Life accomplishes this mission by:Cultivating an environment of engagement, connection and belonging that is respectful and fair to everyone;Cultivating leaders who critically examine and understand the potential impact of their decisions and act ethically;Committing to an environment of understanding and fulfillment of both individual and community well-being that promotes purpose, vitality, engagement, and resilience;Cultivating a supportive network of colleagues that shares ideas, learns and creates together, and develop authentic connections; andCommitting to dynamic action in creating meaningful solutions to anticipate and meet the needs of an ever-changing community.Responsibilities: Provide support to the Vice President for University Life and the Assistant to the VP/Director of Special Projects; the leadership team (Cabinet); University Life Advisory Board; and other personnel who provide leadership and support for units throughout the university. This position is also responsible for providing excellent customer service to students, students' families, Offices of the President, Provost, Chief of Staff and Senior Vice President and other constituent groups.Customer ServiceProvide excellent customer service in a calm, professional and empathetic manner to all key customer groups, including but not limited to students; students' families; the President's Office and Board of Visitors; the Provost's and Senior Vice President's offices; University Life's leadership team and unit leaders; University Life Advisory Board; and outside callers who may represent governments and/or governing bodies, journalists, or professors/staff from other higher Ed institutions;Intercept unscheduled visitors who are in need of further information, direction or interaction;Manage and direct outside visitors to appropriate resources within the University; andAssess when issues need to be escalated to the Vice President for University Life or others in leadership roles; learn the functions of the units within the division in order to appropriately refer and follow-up.Event Coordination and SupportManage, schedule, publicize and evaluate various events that the Vice President and/or University Life hosts regularly;Independently plan, promote, coordinate with other departments, and monitor special events and ongoing meetings (which may include monthly unit leaders' meetings; student success symposium; retreats; etc.);Provide support for University Life Advisory Board meetings; andWork with catering, room reservation system, University events, MarComm and other departments for turn-key event, including purchasing and reconciling approved expenses.Administrative SupportProvide project support to the Vice President and Assistant to the VP/Director of Special Projects, including timely management and follow through of opportunities and efficient completion of various projects and assignments (annual or otherwise) in support of University Life. These processes include establishing priorities, obtaining all necessary details and exhibiting strong communication skills for efficient completion;Prepare and disseminate meeting agendas; name tags; meeting materials; and learn the intricacies of university's systems that allow for virtual or hybrid meetings;Provide administrative support to University Life Advisory Board; Perform special studies and projects on a broad range of issues, and forge excellent rapport and working relationships with administrative professionals throughout the university;Manage travel schedules and corresponding reimbursements; andAs a member of University Life's administrative team, serve as back-up scheduling and administrative support for the Executive Assistant and Administrative Assistant(s) in UL Central.Presentation Creation and ExecutionCreatively utilize appropriate presentation programs (PowerPoint, Prezi, Canva, Google Slides or similar) and research and data collecting skills to create, edit, fact-check and effectively present information in clear and comprehensive manner.Required Qualifications:Demonstrated communication skills and the ability to communicate verbally and in writing using tact, respect, diplomacy, and confidentiality;Professional demeanor and the ability to interact with all levels of academic and administrative offices and a diverse campus population in a calm, rational and respectful manner; Demonstrated proficiency with Microsoft Office Suite including PowerPoint; andExperience in a fast-paced, customer-centric work environment required.Preferred Qualifications:Demonstrated experience with design and visual communications platforms such as PowerPoint, Prezi, Canva, or similar; andBachelor's degree preferred or equivalent combination of relevant education and experience.
