Job Summary/Company: Sparks Group has partnered with a progressive urban planning nonprofit that is looking for an Office Administrator to support the Director of Finance. The ideal candidate will possess outstanding organization, attention to detail and analytical skills as well as the ability anticipate problems and create plans to overcome issues.

Full vaccination (including booster) against COVID-19 is required for this position.
  • Assist in planning, coordinating and managing all administrative procedures and systems.
  • Develop, review, and improve administrative systems, policies, and procedures.
  • Coordinate human resources administrative activities, including new hire orientation and staff offboarding coordination, benefits, and business insurance renewals.
  • Assist Director in assessing staff technology needs & manage cloud communication system (zoom accounts), cloud storage assessment/transition, equipment acquisition and replacement requirements in coordination with outsourced IT service provider.
  • Identify process bottlenecks and implement solutions for office management improvement.
  • Oversee facilities services (building access, fire evacuation, repairs, and maintenance etc.) and maintenance and cultivate relationship with landlord and property management companies.
  • Organize all staff and management meetings.
  • Support employee recognition programs.
  • Manage, review, and renew office contracts for equipment, supplies, materials, services etc.
  • Support the plan and process for office move/relocation.
  • Assist the Director of Finance with managing and reviewing corporate credit card charges and travel policy compliance. Create and maintain administration manual and how-to guides for staff use.
Qualifications/Background Profile:
  • Bachelor's degree in administration, management, or a related field preferred; equivalent experience considered.
  • 5 years' experience in office administration with decision-making responsibilities.
  • Strong internal customer service skills.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Proficient computer skills including MS Office
