Senior Executive Assistants at Capital One perform an array of administrative and clerical functions essential to running an organization efficiently. The successful candidate will serve as an information and communication manager for an office, plan and schedule meetings by managing calendars; handle travel arrangements; create expense reports and disseminate information. The Senior Executive Assistant will be responsible for the following:
  • Provide an exceptional standard of support for the EVP by serving as not only a gatekeeper, but additionally as the central point of contact.
  • Provide strategic calendaring for Celia to ensure highest business and personal leverage
  • Organize meetings by generating invitations and coordinating complex calendars, in addition to reserving meeting rooms. S/he will organize for catering, audio/video, and other essential services as needed.
  • Organize team events and functions for the EVP and Senior Leadership Team.
  • Answer incoming calls and provide support as required by taking inclusive messages that allow the executive to respond effectively. S/he will autonomously provide assistance as required.
  • Schedule travel and create expense reports using Capital One systems.
  • Leverage experience with all office landscapes such as scanners, fax machines, copy machines, and multi-line phones.
  • Maintain highly organized confidential files and records.
  • Manage multiple projects, taking on new responsibilities, autonomously provide solutions and assistance, and handle novel issues.
  • Partner with COS:
    • Empower an admin team to feel engaged, included, and developed; and to ensure they have the correct resources or know where to find them to be successful
    • Create a system for admin talent development via involvement with the COS office projects to increase leverage for our teams
  • Coordinate with executive communications
    • Support communications by coordinating schedules and preparation materials for speaking engagements
    • Ensure that all speaking and communication requests are redirected to the communications lead
    • Proactively identify opportunities to share helpful information across Chief-of-staff, HR, and Communications teams


The successful candidate will be a self-starter and should possess the confidence and poise to work with the executive leadership team, other administrative professionals and various external stakeholders. S/he will be pro-active, have a strong attention to detail, good team dynamics, and an ability to work independently as needed.

  • Excellent time management skills, and understanding of the urgency of matters relating to the executive and the department.

Basic Qualifications:
  • High School Diploma, GED or Equivalent Certification
  • At least 4 years of previous administrative support experience
  • At least 4 years of experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Suite


Preferred Qualifications:
  • Bachelor's Degree
  • At least 7+ years of executive administrative support responsibilities, with a high emphasis on and history of successfully maintaining a 1:1 relationship with a senior executive.
  • At least 5+ years of calendar management supporting executive-level
  • At least 1+ year of meeting and event planning experience
  • Experience setting up video conference and Zoom/Skype technology for meeting users
  • Experience planning ahead and managing time effectively
  • Excellent written and verbal communications
  • Excellent organizational skills
