Undergraduate Administration Specialist (Staff) George Mason University's Schar School of Policy and Government, invites applications for the Undergraduate Administration Specialist position. About the Schar School of Policy and Government:The Schar School is based on the Arlington and Fairfax campuses of George Mason University and serves 2,000 undergraduate and graduate students, with approximately 16,000 alumni. The Schar School prepares undergraduate and graduate students to be leaders and managers who solve problems and advance the public good in the private, non-profit, and public sectors, including all levels of government-in the United States and throughout the world.Responsibilities:As a member of the Schar School of Policy and Government's administrative team, the Undergraduate Administrative Specialist manages four broad functions for the Schar School's staff and faculty on the Fairfax campus:1) Coordinating a wide array of program and event logistics and communications;2) Compiling data for undergraduate program needs;3) Addressing administrative and logistical problems that impact faculty and staff; and4) Supervising hourly student workers.Reporting to the Assistant Dean for Student Engagement, this full-time position serves as the primary coordinator for the implementation of program support services for Schar School's Fairfax-based undergraduate teams, including Recruitment, Academic Advising, and Learning Communities, and works closely with the associated program directors, faculty, and staff.Some specific duties include:Work closely with the Assistant Dean for Student Engagement, the Fairfax-based Recruiter, Academic Advising, the Learning Community teams, and Schar School undergraduate faculty to oversee logistics for a wide range of events and activities. These events encompass a variety of conferences, seminars, and workshops, recruitment activities, new student orientations, career workshops, learning community gatherings and meetings, advising workshops, student association events, GTA workshops, off-campus course-related events, and Schar School degree celebration. Logistical coordination includes room reservations, catering orders, supplies and print materials, event registration, problem-solving and overall project management for Schar School Fairfax-based events.Track completion of planning milestones to include event communications; manage room reservations, catering, travel, accommodations, and event logistics for out-of-town guests; prepare name badges, agendas, signage, and event materials; track RSVPs and other event coordination details; coordinate with the Arlington-based Schar School administrative team as well as other Mason offices to ensure a streamlined system of event planning (e.g., Events Management, University Information, Catering, Fiscal Services); when appropriate, direct any administrative tasks that should be handled by Arlington-based staff;Monitor budget for administrative and event expenses; work closely with the Fiscal Services team to ensure an orderly and accurate expense management process;Coordinate and track communication across platforms for faculty and staff initiatives, including recruitment, advising, and learning community activities; provide support for large print and email jobs as well as call campaigns to meet the recruitment, retention, and programming needs of undergraduate faculty and staff;Coordinate with Fairfax-based Recruitment, Academic Advising, and Learning Community teams as well as with faculty program directors to create data reports that support the ongoing assessment of advising, recruitment and retention strategies in the school;Use Microstrategy, Banner, PatriotWeb, and other university-supported software to run reports at the request of faculty and staff; organize spreadsheets in Microsoft Excel or MS Teams Sheets to present data in usable ways for faculty and staff needs; coordinate with appropriate Mason offices (e.g., Registrar, Admissions, University Life) for student data requests as needed by faculty and staff; develop, initiate, and gather data from Qualtrics surveys as neededProvide support for review and revision of catalog and other ongoing undergraduate academic program needs;Work with a wide variety of Fairfax faculty and staff to respond to immediate administrative needs and resolve emergent issues that impact the effective and efficient operations of the Fairfax office; address logistical challenges to ensure the office runs smoothly; exercise sound judgment when unexpected situations arise;Maintain effective relationships with a wide variety of Schar School and Mason offices; engage appropriate university offices and technical tools as needed to respond to administrative challenges; when appropriate, send issues to members of the Arlington staff that have responsibility for the problems at hand and are assigned to address them for the Schar School as a whole;Oversee training, supervision, and evaluation of hourly student assistants; coordinate student employee activities with the needs of the Academic Advising, Recruitment, and Learning Community teams.Required Qualifications:Experience with Microsoft Office and web tools;Advanced effective written and oral communication skills;Some (generally two years) of administrative experience in a professional, diverse, fast-paced environment;The candidate must possess demonstrative administrative experience in a professional office setting, preferably in an education environment, as well as some supervisory experience.Preferred Qualifications:Experience in the use of technology to support data management, including Qualtrics;Significant (generally five years) of administrative experience; familiarity with higher education systems and processes.
