We are seeking an enthusiastic individual who is passionate about providing excellent client service, with a process improvement mind set to join our Talent Acquisition and Operations team.

The Recruiting and Onboarding Coordinator is responsible for supporting all recruiting and onboarding systems and processes for the City of Alexandria. This position will manage a high-volume candidate load and need to navigate multiple systems, recruitment, and onboarding processes to ensure both our candidates and stakeholders have an excellent customer experience.

The Opportunity
  • Create postings and advertisements for openings and utilize various digital platforms to source talented candidates
  • Coordinate interviews, build relationships, & provide troubleshooting support to internal and external business partners and as well as candidates
  • Work independently to schedule (and reschedule) interviews & meetings
  • Collect and maintain all relevant documentation for the recruitment and onboarding processes in compliance with Federal and State regulations
  • Provide support where needed to administer background checks and drug tests for new hires
  • Maintain compliance with federal and state regulations concerning pre-hire employment
  • Assist candidates over the phone with completing background checks and pre-boarding tasks to ensure speed of hire
  • Communicate thoroughly with candidates and HR managers on the status of new employees
  • Research and resolve all recruiting, pre-employment, and onboarding system or process related inquiries from internal recruiters, hiring managers, and applicants
  • Escalate and monitor for completion cases that, after research, need to be resolved
  • Identify opportunities that enhance the candidate, recruiter, and hiring manager experience
  • Administer internal recruiter/hiring manager access to all recruiting, pre-employment, and on-boarding systems
  • Maintain data quality in job requisitions by ensuring templates are accurate, postings are visually appealing, and active openings are current
  • Audit and monitor job postings
  • Consistently build and maintain strong relationships with the internal HR community and hiring managers
  • Monitor onboarding and other pre-hire checks and escalating when necessary
  • Understand the business process in the applicant tracking system (NEOGOV) and keeping the information in the system and other trackers up to date
  • Act as the point of contact for the committed hires by managing the post offer, pre-hire process to ensure all necessary actions are taken prior to the new hire start date
  • Develop high-performing partnerships with partners across the firm, including Talent Acquisition, HR Compliance, Talent Management, Diversity & Inclusion, Legal, Finance, and others to effectively manage issues/escalations ensuring risk mitigation and seamless resolution
  • Serve as an advocate and catalyst for the client's mindset by reinforcing client's culture and principles
  • Contribute to cross-functional HR projects as needed


The Ideal Candidate
To be considered an ideal candidate, you will be knowledgeable of full cycle recruiting, which includes the onboarding process. The ideal candidate will be proficient in & possess knowledge of recruiting tools, resources & processes, being technology savvy with the ability to quickly learn software and systems to manage work. They will have experience with an Applicant Tracking System, preferably NEOGOV, as well as the SparkHire interview platform. This individual will also possess excellent oral and written communication skills and can communicate well using multiple mediums (email, phone, text, IM). The ideal candidate will be able to manage multiple customer service requests and priorities concurrently while maintaining professionalism and concise communications. They will desire to grow along with our organization and be passionate about the candidate experience. The ideal candidate will be a self-starter, has a sense of urgency, and takes initiative to consistently add value to all Talent Acquisition projects and initiatives.

Minimum & Additional Requirements

Two years of college; completion of college-level courses in human resources administration, public/business administration, psychology or a related field; at least one year of experience in Human Resources; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
