Chief of Staff - Technology Design

The Chief of Staff (COS) will provide critical strategic thought and leadership surrounding areas of process controls and improvements, organizational effectiveness, project management, finance and communications. As Experience Design (XD) is composed of diverse teams, the Chief of Staff provides a critical link and will be expected to liaise on behalf of the VP, Tech Design (Tech.XD) across Tech.XD, business partner teams, as well as the wider XD team. In addition, this role will be the primary point of contact for groups outside direct reports such as Risk, Finance, Workplace Solutions (WPS) and Human Resources (HR). The COS is a catch-all role requiring exceptional organizational and people skills. The COS generally handles all manner of tasks not covered by an existing member of the leadership team.

The Chief of Staff will lead the way in defining the strategy, management practices, and operating rhythms for the Tech.XD team. The COS tracks progress towards shared objectives to ensure we are focusing on our highest priorities and delivering on our commitments.

The COS is a big-picture strategic thinker, who also pays close attention to the details. The COS plays a critical horizontal role, building relationships across Tech.XD , wider XD and business partner teams. The COS is an important culture carrier who models the right behaviors for the team and helps create a shared sense of purpose, leadership and accountability with and for the team. The COS should be an excellent communicator, both written and verbal. The COS will be expected to ask tough questions, challenge the status quo, and problem solve to drive change.

Because Experience Design is a human-centered and creative function, the COS must be highly collaborative and able to think outside the box and work customer-back. Problems and partnerships should be approached with curiosity and empathy balanced with keen judgment and a clear point of view. The COS must produce well-crafted artifacts that enable alignment and progress. This person must drive high-quality results while still caring for the well-being of people and process along the way.

The Job

The chief of staff role is largely about relationships and communication. The COS is not just a connector; they are a messenger and listener. They maintain a 10,000-foot view while tackling the tactical and recognize overlaps in plans, processes, people, and many other facets of a functioning organization. They have access to people and data at all levels and disciplines and keep at least one ear and one eye open to gauge the temperature of the organization and the standing of the organization with partner teams and leaders.

The Chief of Staff job includes, but is not limited to :
  • Engage as an extension of the executive they support with the organization's leaders and partners.
  • Create and maintain a birds eye view of operational routines Tech.XD must uphold -- Risk, Finance, Performance, etc -- and ensure our leaders and teams are not just good citizens, but staying ahead of the game. Establish self-service and repeatable processes wherever possible to reduce redundancy and inefficiency.
  • Establish and run management practices for the Tech.XD leadership (LT) and org to enable transparency, efficiency, and effectiveness of our function, that keep the LT aligned on key cultural and operational expectations, and catalyze the LT to work together on the highest-leverage aspects of the Tech.XD organization.
  • Design ways for the LT to get value out of their leadership cohort, including advancing each other's agendas, creating a sum total greater than the parts, establishing a unified force in messaging and processes, and sharing best practices.
  • Immerse in Tech.XD's strategy and partner with Executive Admin and others to evaluate and manage meeting schedules and time commitments.
  • Prepare agendas, coordinate materials, facilitate management practices meetings
  • Shepherd Strategic Planning planning cycle (quarterly/annual)
  • Coordinate regular reviews of key metrics and initiatives
  • Identify opportunities for process improvements
  • Serve as "go to" person for information and historical materials
  • Leverage skills to provide support where needed on key department initiatives


Basic Qualifications
  • Bachelor's Degree or military experience


Preferred Qualifications
  • Master's degree in Business Administration, Communication, or Experience-related field
  • Project Management Professional (PMP) Certification
  • Strong business judgment, influencing skills, leadership and integrity are essential for this position. Must possess a high "EQ" and be a collaborative team player
  • Self-starter that can work autonomously and can take initiative; highly motivated
  • Confident to champion unpopular ideas even with more senior leaders
  • Ability to navigate "white space" or ambiguous situations
  • Comfortable operating, in large part, behind the scenes; humble enough to give others credit
  • Strong process orientation and knowledge of agile practices
  • Strong facilitation, negotiation and mediation skills; ability to drive to consensus/ decisions
  • Strong project management and organizational skills. Meticulous attention to detail
  • Excellent written and verbal communication skills
  • Discretion in handling highly sensitive issues

• 2 years of experience in Project and/or process management

• 5 years of experience in Staff management and training
• 5 years of experience in Organizational development and performance
