Summary of Duties:

The Embassy of Canada in Washington, D.C. is hiring Common Services Clerk (CSC) to provide clerical and administrative support services in the following areas: Program Support, Reception, Security, Mailroom. Depending on the role, Common Services Clerks perform some or all of the following duties:

•        Prepares material such as routine reports, letters, charts and tables; handles documents such as making photocopies, binding, filing, shredding, etc.; and obtains routine approvals and signatures as per established processes and procedures.

•        In accordance with classification of documentation policy, maintains electronic and paper records/data, files, lists and databases such as inventories, visitor logs, invoice tracking charts, etc.; enters data in departmental integrated automated financial, procurement, HRMS, and consular systems; and keeps various manuals and publications up to date for office reference purposes.

•        Provides mail services, including shipping, receiving and distribution. 

•        Provides reception services, including receiving phone calls and welcoming visitors.

•        Escorts headquarters personnel, visitors, or contractors in accordance with security policy.

•        Performs security screening, including the screening of mail, and/or patrol functions as required.

•        Reports any safety or hazardous problems or accidents in order to ensure proper follow-up action and ensures that all information and activities are reported in the appropriate logs or registers.

 

Area of Selection:

Open to internal and external applicants who are residents of the United States having independent work authorization and status in accordance with U.S. protocol directives for employment in a foreign mission (US Citizens, Legal Permanent Residents or A, G or NATO-2 category visa-holders) who meet all of the essential requirements stated below and whose applications are received by the closing date. Please note that the mission will not reimburse relocation costs under any circumstance and that the mission does not sponsor work authorizations directly or indirectly.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

*Language will be assessed further during the process. 

Education:

Candidates will be required to provide proof of the completion of their education.

•    Successful completion of secondary school or equivalent.

Language:

  • Good working knowledge of English (reading, writing, comprehension and speaking).

Experience:

1.   Relevant and recent work experience in administration, protective security or law enforcement at a diplomatic mission, international organization or private company.
2.   Relevant and recent experience working with the general public to provide front-line client service.
*Recent experience defined as within the last three years.
 

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

 

Knowledge:

1.    Knowledge of standard administrative procedures.
2.    Knowledge of safety and security concepts, including with respect to security of people and assets.

Competencies:

1.   Effective interpersonal skills.
2.   Sound judgement.
3.   Client service-orientation.  
4.   Adaptability and flexibility.
5.   Dependability.

Abilities: 

1.    Communicate clearly in English, both orally and in writing;
2.    Observe potential irregularities, such as breaches, hazards or emergency situations.
3.    Appropriately prioritize tasks.
4.    Perform moderate physical activity, including standing and/or walking for extended periods of time and regularly and repeatedly lifting packages up to 50 lbs (22 kg).
5.    Quickly and appropriately react to stressful situations.
6.    Effectively use Microsoft Office products, including Excel.

 

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

1.    Ability to communicate in French (orally and in writing)
2.    Experience operating x-ray machines and interpreting x-ray images.
3.    Valid American Red Cross Basic First Aid/CPR (or Canadian equivalent).
4.    A Bachelor’s degree.

 

Operational Requirements:

•    Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week.
•    Occasional overtime, including evenings and weekends, may be required with advance notice.
•    Location of work: Work is normally performed on-site.
 

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.

- Vaccination compliance: All new hires on or after the effective date of October 6, 2021 are required to be fully vaccinated against COVID-19 as a condition of employment and to attest that they are fully vaccinated against COVID-19 prior to their starting date unless accommodation measures are granted.

- Other conditions of employment:

Must have Independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions. In this respect, applicants must confirm independent work authorization in the United States (e.g. US Citizen, U.S Legal Permanent Resident (LPR), or specific visa categories (e.g. dependents of Diplomatic and Official Visas holders)) as required by the Department of State for employment in a foreign mission.
