An active commercial real estate firm located in Bethesda is seeking a proactive, bright, and focused Executive Assistant to support two Principals. This role is working in person and the office has close to 20 employees. It is metro accessible and the organization provides parking. The company values a good work life balance and looks for individuals who will have a genuine interest in the business while supporting the team.

The hours are Monday-Friday, 9am-5pm or 8:30am-5:30pm.

Responsibilities:
  • Provide administrative assistance to two principals.
  • Schedule tours, meetings and conference calls
  • Facilitate travel and accommodation arrangements
  • Assist with planning and execution of special events, such as, holiday parties, philanthropic drives, and other celebrations
  • Manage and prepare expenses reports
  • Create presentation books for broker review/revision
  • Interface with clients
  • Research market surveys and properties using CoStar, Loopnet and miscellaneous internet searches depending on the property to obtain relevant information
  • Assist with property marketing by gathering information for mailers, e-flyer schedules and broker newsletters
  • Prepare and send correspondence (letters, memos, emails) to clients and associates
  • Prepare documents including: LOIs, Proposals, Agreements (lease, purchase and listing)
  • Generate listing activity reports in Excel for review with broker and client (Deal Tracking)

Job Requirements

Qualifications:
  • BA or BS in related field
  • 2+ years' of Executive support experience in a fast paced environment
  • Proficiency in social media, Adobe Acrobat, internet search engines, Word, Excel, Outlook, PowerPoint; & Adobe Creative Suites.
  • Sourcing real estate ownership entities.
  • Excellent communication skills - ability to communicate accurately and clearly both verbally and in writing.
  • Ability to prioritize projects and strong problem-solving skills.
  • Excellent organizational skills and ability to multi-task in a fast-paced environment.
  • Strong interpersonal skills and works well in a team environment.
  • Customer service oriented with a "can do" approach to work.
  • Professional demeanor.
