Undergraduate Education Office ManagerThe George Mason University Office of the Provost seeks an Office Manager for the Undergraduate Education Office, who has a passion for transformative education. George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and cultural inclusive environment.Responsibilities:The Undergraduate Education Office Manager supports the entire Undergraduate Education area (including the Undergraduate Education Office, the Office of Student Scholarship, Creative Activities, and Research (OSCAR), Community Engagement and Civic Learning Office (CECIL), University Studies, the Office of Fellowships, the Office of Academic Advising, and other educational initiatives). The incumbent will provide central administrative, fiscal, and facilities support. The Undergraduate Education Office Manager will report to the Associate Provost for Undergraduate Education.Duties include but are not limited to:Managing financial activities, monthly reconciliation, and records associated with the Undergraduate Education;Managing annual budget planning;Overseeing billing and processing of special payments, electronic approval (EA) entry, preparation and tracking of foundation vouchers, and preparation and recording check requests and purchase orders;Organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency;Managing information technology requests, fixed assets, telecommunications, and coordination of equipment, including maintenance and surplus of items. The Office Manager will coordinate scheduling, agendas, and minutes of all related meetings;Trains, manages, and supervises the Undergraduate Education student employees and the Administrative Assistant for the Associate Provost;Serving as the Human Resource liaison for Undergraduate Education, overseeing the hiring and orientation of all employee classes working for the Undergraduate Education Office; andCoordinating office projects and events, including planning, procurement, and logistics for Undergraduate Education events.Required Qualifications:The incumbent will need to be able to work in a team environment, understand the vision of Mason Impact, and be able to take independent responsibility for supporting students. The ideal candidates have:Undergraduate degree in any discipline, or an equivalent combination of education and experience;Demonstrated experience (typically 2-5 years) with managing budgets, purchasing, and reconciliation;Experience in the budget planning process;Experience working within a large financial infrastructure;Experience managing at least one office activity related to information technology, human resources, physical space, and equipment;Demonstrated written, oral, and interpersonal skills;Demonstrated ability to take initiative, problem solve, and prioritize multiple tasks;Demonstrated professionalism, flexibility, organization, and curiosity; andDemonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Preferred Qualifications:Knowledge of George Mason's financial infrastructure;Experience working within higher education; andExperience managing a medium size office environment (2-5 years).
