Administrative Office Specialist / Program Office ManagerThe Division of Elementary, Secondary, and Literacy Education in the George Mason University College of Education and Human Development (CEHD) invites applications for a full-time Administrative Office Specialist/Program Office Manager.George Mason University has a strong institutional commitment to achieving excellence and diversity among its faculty and staff and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment.About the Position: We are seeking applicants who have administrative experience and expertise in higher education. As a staff member, the candidate would be working closely with students, faculty, and staff and thus needs to have a strong service orientation and excellent communication skills. The candidate provides information and guidance to prospective and current students, assists the program faculty with academic advising, works with administrative leaders within and outside the division, and coordinates the admission cycle for the division.The candidate will provide general administrative support for the office, including, but not limited to, scheduling appointments, data entry (CRM), CourseLeaf/CLSS, supporting hiring processes, contract support, course scheduling, assisting with program outreach and marketing, admissions coordination, and other administrative projects and data support. A high level of problem solving is required with the ability to answer general and complex problems regarding programs, and the candidate will collaborate effectively with other staff and faculty to create a welcoming environment. The position works closely with other university offices in meeting program goals and completing tasks.Located just a short distance from Washington, D.C., CEHD is a dynamic academic unit committed to innovation and excellence in its research and teaching activities.Responsibilities:Serve as the point-of-contact for the division and academic programs, including responding to emails, answering telephone inquiries, and assisting in-person visitors;Manage day-to-day operations of the division and programs;Provide outreach and student services, including engaging with prospective and current students;Contribute to student recruitment and stakeholder outreach efforts, including creating and disseminating information;Arrange, coordinate, and participate in information sessions and orientations;Coordinate, review, and track admissions applications and processes;Manage contract cohort admissions, scheduling, and registration;Organize, process, monitor, and retain student forms and paperwork;Provide academic program support, including support with accreditation and program review, course enrollment monitoring, course scheduling, course syllabi preparation, and desk copy and textbook orders;Coordinate academic program events, including scheduling, marketing, invitations, catering, and technology;Perform administrative duties, such as records management and retention;Serve as CEHD Student and Academic Affairs, CEHD Admissions, HR and Bookstore liaison;Assist faculty and staff with projects, activities, and initiatives; andSupervise work study students.Required Qualifications:Bachelor's degree, or an equivalent combination of education and experience;Experience with tasks aligned with this position within a higher education setting;Demonstrated effective verbal and written communication skills;Demonstrated ability to manage projects and to consistently apply standard operating procedures and business processes;Experience working with a customer relationship management (TargetX/Salesforce), student information (Banner), CourseLeaf/CLSS and/or other IT system used to support higher education; andExperience working with a diverse group of individuals.Preferred Qualifications:Experience with event planning.
