Are you an experienced professional with an administrative background that includes data entry, database management, and accounts receivable experience? Consider this opportunity to work as part of a close-knit team within the Arlington County Fire Department!

The Administrative Technician I position in the Support Services Division, Fire Chief's Office will support services including fiscal management, human resources, and special projects. This position is responsible for managing the day-to-day activities relating to accounts receivable.

Major duties include:

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable such as billing issues, customer discrepancies, and past-due amounts;
  • Drafts correspondence for standard past-due accounts and collections, upcoming tests, reschedule of tests, test results, violations, etc;
  • Identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment;
  • Completes invoices from start to finish ensuring correct payment of inspection fees using a fee schedule;
  • Coordinates the daily inspection schedule/reschedule of existing and new residential, commercial, and special hazard occupancies for Fire Code Inspectors and the Fire Protection System Retest Team;
  • Prepares daily, monthly, quarterly, and annual reconciliations to assure collection, billed date and computerized reports are in balance.;
  • Interprets violations to provide checks and balances as inspection results are received for fee processing/follow-up; and
  • Performs administrative tasks: answering phones, opening mail, scanning, indexing documents, remote check depositing, and using computer programs to complete above tasks.
An ideal candidate will be able to execute the duties mentioned above as well as inspire confidence by way of demonstrated initiative and ability to prioritize assignments, providing high-quality service to all contacts. The ability to communicate clearly and effectively verbally and in writing, possess excellent organizational and time management skills, work independently and as a cohesive member of the overall team.

Selection Criteria

Minimum:
  • High School Diploma/GED, plus
  • 2 years of progressively responsible administrative support experience to include 1 year of accounts receivable experience.

Substitution:

  • Substitution College coursework in Public/Business Administration or related field can be substituted for the experience requirement on the following basis: 2 years = six months of experience. Education may not substitute for more than 18 months of experience.
Desirable: Preference may be given to candidates with experience in one or more of the following;

  • Working with PRISM, Telestaff, Microsoft Word, Excel, Outlook and Access;
  • Working with data entry/database/records management, and word processing experience;
  • Working in a public safety environment; and/or
  • Database management and extraction of reports.

Special Requirements
The applicant must possess, or obtain by the time of appointment, a valid motor vehicle operator's license from the applicant's place of residence or the applicant must have the ability and willingness to use alternative methods of transportation to perform assigned duties and responsibilities at locations other than the primary worksite. If the applicant possesses or acquires a license, the applicant must authorize Arlington County to obtain, or the applicant must provide a copy of the applicant's official state/district driving record. Any offer of employment may be contingent upon a favorable review of the applicant's driving record.
