Job Details

The American Speech-Language-Hearing Association requires all new employees to present proof they are fully vaccinated against COVID-19 when they start work. As our Special Interest Groups, Program Coordinator, you will assist passionate and dedicated staff and volunteer leaders in their work. You will provide support, information, resources, and tools to our staff and volunteer leaders so that they can plan and coordinate the activities of ASHA’s 20 Special Interest Groups.  

Every day you will:

  • Be a part of a 3-member core team that interacts with numerous staff, volunteer leaders, and other members. 
  • Be available to assist in a variety of activities from scheduling meetings to supporting web and social media needs to responding to questions about the program.    
  • Apply administrative, technical, and logistical skills to ensure work is done efficiently and effectively.

Description

The purpose of this position is to provide administrative, technical, and programmatic support for the Special Interest Groups (SIG) unit’s processes, programs, and services. The program coordinator applies technical and logistical skills to ensure process efficiencies and timely completion of work. Priority is placed on efficient communication, organization, and coordination of work necessary to support SIG staff and staff liaisons, effective functioning of the unit, as well as ongoing communication with ASHA members and volunteer leaders, and other ASHA National Office staff.

Responsibilities

  1. Provide administrative and logistical support to SIG-related meetings, conference calls, and online activities, including but not limited to 
    • Maintaining and coordinating travel for and administration of over 20 in-person face-to-face meetings and numerous online conference calls of the special interest groups, 
    • Providing follow up to meeting activities including reviewing audio transcripts, posting recordings
    • Providing technical support for board-related conference calls.
  2. Support and manage workflow for the SIG unit and for SIG ex officios, including coordination of activities, resources, equipment, and information related to internal processes and activities, ensure timely production of deliverables, and create and maintain documentation, plans; and recommend standard operating procedures and improvements. 
    • Preparing/enhancing data reports, spreadsheets, letters, certificates, and other documents.
    • Processing requisitions and expenses, tracking and ordering supplies, and researching prices and vendors to order giveaways and special supplies.
  3. Develop and maintain project management systems for SIG virtual affiliate meetings including calendars, creating registration content in coordination with sponsorship team, and processing member giveaways following the event. 
  4. Provide technical support 
    • with Microsoft Applications (Word, Excel, PowerPoint, Teams), as well as telephones, copiers, and computers as needed.
    • Adhering to ASHA’s email blast strategy to schedule and coordinate SIG-related email blasts. 
    • Managing the functionality and processes for the units’ intranet sites and the SIGs’ online affiliates’, coordinating committees’, and other online communities.
    • Serving as the social media liaison to support the SIGs, including, material creation and online communication related to in-person and online events.  
  5. Monitor and respond to member and staff questions.
  6. Adhere to ASHA’s web content management strategy to develop review and maintain SIG webpages to optimize currency and accessibility of digital content and advise on best practices.

Qualifications
Knowledge Typically Acquired Through

  • AA or BA degree and 2–4 years of related experience (preferred)
  • 2 years of experience coordinating programs or projects within a complex organization (preferred)
  • Weekend and evening work: The incumbent must be available to work one to two weekends per year and occasional evenings. 

Scope and Depth of Technical Skills/Knowledge

  • Excellent typing, proofreading, spelling, and grammar skills
  • Proficiency with standard software: Microsoft Windows, Word, PowerPoint, Excel, Outlook, SharePoint, Internet Explorer, and Adobe Reader
  • Technical competence appropriate for using a web content management system, basic HTML, collaboration software (e.g., SharePoint), and customer relationship management software (e.g., netForum)
  • Demonstrated ability to work independently while also working collaboratively with a team to develop and carry out projects and duties

  • Physical Requirements: The incumbent must be able to pack materials for shipment and carry boxes.
