Administrative assistant to Director and Administrator: scheduling, registration, material prep, logistic support for online courses & conferences and general office support. The International Psychotherapy Institute (IPI) is a not-for-profit, post-graduate educational institute for mental health professionals in Bethesda, MD.
RESPONSIBILITIES INCLUDE
Administrative support for the Executive Director and Executive Administrator
Assist with correspondence and communications; scheduling; prepares materials and reports.
Scheduling and logistics for courses and events
Provide logistical support for distance learning courses and events using the Zoom videoconference platform; monitor online meetings and provides technical support as necessary; assist in preparation of course schedules, handouts and material; distribute course material and information; maintain registration and attendance records; create online evaluation forms; prepare certificates. Assist in preparation of reports. Assist in planning and onsite support for local in-person conferences.
Administrative support for Member Program and Benefits:
Primary point of contact for potential members and current members: respond to inquires; send welcome message to new members; provide information on available benefits; enroll members in member benefit programs.
General Administrative/Office
Bank deposits; issue online payments; monitor email, mail and telephone; maintain records and files; order office supplies.
EXPERIENCE AND SKILLS
Our ideal candidate is a college graduate with a minimum of 5 years administrative experience supporting a number of programs or projects in an educational setting, or a relevant administrative role.
Candidates must have:
- Familiarity with a variety of office technologies. Proficient in current standard office software including Microsoft Word, PowerPoint, and Excel. Familiarity with QuickBooks is a plus. Strong verbal and written communication skills and the ability to present information effectively. Experience and skill in developing and implementing administrative strategies and procedures Excellent organizational skills and attention to detail Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
Preferred Candidates will have significant experience in some or all of the following:
- Providing administrative support to educational courses and events or to a variety of programs Scheduling and implementing online meetings with multiple participants, specifically using the Zoom videoconference platform Maintaining records and organizing files, including familiarity with digital filing systems Meeting and event planning and support Office management

COVID-19 safety considerations:
We follow CDC recommendations for COVID-19. Large office will have 2-3 people with desks separated by at least 6 feet, with KN95 or N95 masks required. Two air purifiers and additional intake and exhaust fans positioned in windows (weather permitting) to maximize airflow as recommended by the CDC. Current staff are vaccinated and boosted. Orientation will be done in the office with some flexibility for telework combined with onsite work due to COVID-19 with expectation to work full-time onsite when considered safe.
