The incumbent will serve as a resource to prospective and current students on matters pertaining to admissions, registration, degree compliance by having a detailed functional knowledge of Mason's policy on admissions, registration and degree compliance. The APA will also manage all aspects of CDS programs on the CDS website, by providing information and displaying current and past media to illustrate details of research and study within the programs. Attend the bi-annual Showcase of Graduate Studies and Open Houses for the graduate program is also required.Responsibilities:Other responsibilities include but are not limited to:Hold virtual advising sessions with undergraduate and graduate students;Schedule pre-defenses and defenses;Log and track academic actions pertaining to student degree compliance;Coordinate faculty/student volunteers for STEM and annual Mason/COS student events;Create templates for students to use when requesting time extensions (graduate students);Create a streamlined academic progress form for undergraduates who are struggling to understand DegreeWorks;Provide guidance to faculty on degree compliance issues;Provide enrollment statistical information to the Chair for decision-making;Schedule courses by coordinating and preparing course schedule to ensure no internal scheduling conflicts;Coordinate with other Mason departments on cross-listing arrangements;Maintain information in accordance with SCHEV accreditation standards;Serve as CDS grading coordinator to ensure grades are submitted on time or submitting grades on behalf of faculty;Input assessment data in TK20;Coordinate catalog revisions;Serve as CDS FERPA/FOIA point of contact and maintaining student files according to VA Records Retention Policy;Run Microstrategy reports that Registrar used to provide; i.e., missing grade reports, graduation requirements-met/not met;Attend and take minutes at CDS department meetings;Manage CDS web and Facebook sites by posting current faculty/staff/student news and upcoming events;Work with COS Director of Graduate Studies to plan and attend open house sessions for prospective and current students;Promote lectures/seminars hosted by CDS (CDS Colloquia and CSS Friday Seminars); andRepresent CDS at graduate programs showcases to promote degree programs.Required Qualifications:Bachelor's Degree or equivalent combination of education and experience;Experience working with sensitive and confidential information, with appropriate levels of discretion;Understanding of academic policies and experience working in higher education; andDemonstrated ability to work independently with strong attention to detail.Preferred Qualifications:Familiarity with Ellucian Banner, DegreeWorks, MicroStrategy, Tk20, and CLSS, MS Word, and Excel;Previous university administrative experience working with graduate programs; andDetailed functional knowledge of Mason's policy on admissions, registration and degree compliance.
