Pacific Northwest National Laboratory (PNNL) seeks an Administrator who will provide comprehensive administrative support to the Joint Global Change Research Institute in College Park, MD within the Atmospheric Sciences and Global Change Division.

The incumbent will be part of a two-person administrative team that provides support by coordinating workflow for the Director, team leaders, and group members which consists of scientists, post-doctoral associates, and student interns.

Administrative duties and functions include but are not limited to:

  • Distributing mail; drafting and editing correspondence, agendas, and presentations; maintaining supplies; coordinating complex travel for employees and visitors; organizing meetings; and procuring supplies and materials via drafting purchase requisitions and through PNNL’s Purchasing Card program; Performing general administrative functions such as management and scheduling of calendars; providing professional, consistent, and reliable telephone coverage to assure clients and prospective client inquiries receive human engagement and timely responses; tracking key action items, accepting and rescheduling calendar items. Providing administrative support and coordinating activities for national and international visitors, DOE-HQ and collaborative institutions and contacts, seminar speakers, interviewees, and other external and internal clients and support organizations (e.g., Legal, Contracts, Travel, the Business Office, etc.). Serve as a key resource to the team on PNNL policies, procedures, and practices, engaging the Director and other group managers for key input when appropriate. Independent evaluation and judgment are required for handling sensitive issues and unconventional situations and for taking appropriate action or making referrals to other sources, using internal policies as the source for decisions and actions. The incumbent will identify and undertake stretch assignments; identify, lead and participate in the development and implementation of new office processes and procedures; continually strive to enhance personal and professional skills; and participate in professional development activities.

Minimum Qualifications:

  • High School Diploma and 3-5 years’ experience in an administrative environment, or combination of education and experience. Experience in planning meetings and coordinating travel.

Preferred Qualifications:

  • Experience scheduling meetings for large groups. Requires an extensive working knowledge of commonly used computer applications such as Microsoft Office Suite. Experience preparing, proofreading, and editing written correspondence and documents. Excellent communication skills required. Demonstrated ability to take initiative in daily work.
